Job Description

Our client, a well-established financial planning firm in Tulsa, is seeking an experienced Executive Assistant / Client Services Specialist to provide high-level support to the firm's Board President while helping deliver an exceptional client experience. This is an ideal opportunity for someone who already has experience in the financial services industry and can step into a fast-paced environment with minimal training. The successful candidate will serve as a trusted administrative partner while also supporting client service, account administration, and operational activities.
Schedule:
Monday-Friday | 8:00 AM - 5:00
PM Salary:
$50,000- $60,000 base salary (DOE) + Bonuses Position Overview This role combines executive support responsibilities with client service functions, making it a critical position within the organization. The ideal candidate is highly organized, detail-oriented, professional, and comfortable working directly with executives, advisors, and high-net-worth clients. Candidates with a Series 7 license and prior experience supporting financial advisors or executives within the financial services industry are strongly preferred. What You'll Be Doing Provide executive-level administrative support to the Board President Manage calendars, scheduling, appointments, and meeting coordination Prepare materials and documentation for client meetings and presentations Communicate professionally with clients via phone, email, and in person Process new account paperwork, account updates, and online access requests Track account activity, paperwork, and service requests to completion Execute and track trades and investment transactions as directed Process client distributions, rollovers, account transfers, and servicing requests Assist with insurance claims, beneficiary changes, and account maintenance Maintain accurate client records and digital documentation Draft correspondence, client communications, and follow-up items Conduct account and product research as needed Ensure compliance with firm policies and industry regulations Assist with client appreciation events and special projects Serve as a key point of contact for clients while helping create a first-class client experience Qualifications Previous experience in financial services, wealth management, financial planning, or investment services required Prior executive assistant or high-level administrative support experience strongly preferred Series 7 License highly preferred Strong understanding of financial accounts, transactions, and client service processes Proficiency with Microsoft Word, Excel, and Outlook Exceptional organizational and multitasking abilities Strong attention to detail and accuracy Excellent written and verbal communication skills Ability to maintain confidentiality and professionalism at all times Ability to work independently while also collaborating effectively with advisors and support staff What We're Looking For A polished professional who can confidently interact with executives and high-net-worth clients Someone who can "hit the ground running" A proactive problem solver who anticipates needs and takes initiative An individual who thrives in a structured, service-focused environment A relationship-driven professional who enjoys supporting both clients and leadership If you're an experienced financial services professional looking for a role that combines executive support, client service, and meaningful client relationships, we'd love to hear from you.
