Full County Benefits after 90 days Probationary Period OVERALL OBJECTIVE OF THE JOB
To perform work involving the creation and maintenance of all Court Dockets and all working files and the typing and processing of documents in a variety of functions within the Domestic Relations Department. ESSENTIAL FUNCTIONS OF THE JOB
1. Enter all orders into the PACSES System on the computer. 2. Maintains electronic documents with PACSES Imaging. 3. Types information from handwritten copy onto forms, from letters, cards, envelopes, labels charts and transmittals. 4. Types letters and documents on computer for updating files. 5. Is an officer of the Court and as such is required to attend all Domestic Relations Hearings in the Courthouse to administer oath to witnesses prior to testifying. Takes Court notes on all Domestic Relations hearings. 6. Prepares appeal files monthly for Court. Makes copies of summary, orders, and electronic postage retrieval. Sends out Notice for Appeals to clients and attorneys. 7. Prepares files for Contempt hearings. Send out Notices for contempt to clients and attorneys. 8. Prepares Docket Files and copies for appeals to Superior Court, copying the entire docket file, making certified copies of all entries, and mailing all vital information to Superior Court. 9. Is responsible for having all Court Orders signed by the Judge, copying orders, certifying all copies, and mailing to the clients and attorneys. 10. Types monthly appeals and contempt lists for the Court, Domestic Relations Office, and the Sheriff's Office monthly. 11. Receives Orders from other Courts and dockets them and forwards them to the appropriate parties and counsel. 12. Responsible for maintaining an accurate docket file. 13. Works with all Domestic Relations Court records that are filed in the Domestic Relations office. Copies and files all Court records. 14. Answer any request for record checks and copies all docket files as requested. 15. Open and sort mail into designated categories, placing it into labeled boxes for organization or address. 16. When both intake officers are absent, the Docket Clerk accepts petitions, complaints and appeals. 17. Answers phone calls. 18. Other duties as assigned by Domestic Relations Director and/or District Court Administrator. SUPERVISION RECEIVED
Receives occasional instructions and some supervision in regard to daily work duties from the Supervisor. SUPERVISION GIVEN
None WORKING CONDITIONS
Works indoors in adequate workspace, temperatures, ventilation, and lighting. Works with average indoor exposure to noise, stress, and disruptions. Normal indoor exposure to dust/dirt. PHYSICAL AND MENTAL REQUIREMENTS
1. Must possess ability to record, convey, and present information, explain procedures and follow instructions. 2. Must be able to sit for extended periods throughout the workday, with intermittent periods of standing, walking, bending, twisting, and reaching necessary to perform job duties. 3. Medium work with occasional lifting/carrying of objects. 4. Sedentary work, with occasional coordination and movements of fingers/hands to simple movements of feet/legs, torso necessary to perform job duties. 5. Must be in good general health and demonstrate emotional stability. 6. Must be able to cope with the physical and mental stress of the position. 7. Must be able to pay close attention to details, coordinate efficiently, and concentrate on work. QUALIFICATIONS
A. EDUCATION/TRAINING
High school diploma or equivalent. Computer training required. WORK EXPERIENCE
Two years' working experience in a professional office environment, OR any equivalent combination of experience and/or training. KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
1. Must be able to speak and understand the English language in an understandable manner in order to conduct essential functions of the job. 2. Must possess effective communication and people skills. 3. Must possess ability to function independently, have flexibility and the ability to work effectively with co-workers and the general public. 4. Must possess the ability to maintain confidentiality in regard to Court information and records. 5. Must possess technical knowledge of operating computers and other office equipment with accuracy and reasonable speed. 6. Must possess knowledge of modern office practices and procedures and the ability to perform the same in an efficient manner. 7. Must possess mental alertness, clerical and math aptitude, and a general knowledge of business, English and grammar and the ability to perform these skills with accuracy and within reasonable speed. 8. Must possess the ability to work independently on complex clerical tasks. 9. Must possess basic math skills and ability to accurately prepare required reports and mathematical record keeping. 10. Must possess ability to meet and interact effectively with co-workers and the general public and to respond accurately to routine questions/inquiries regarding department operations and procedures.
