Job Description

Candidates must be able to maintain organization and accuracy while managing a high-volume workload with minimal supervision. Under general supervision, the Civil Clerk performs a high volume of clerical, data entry, and case management duties within the County Clerk's Office. This position requires the ability to effectively manage multiple tasks simultaneously, prioritize competing deadlines, and ensure all work is completed accurately and in a timely manner. The Civil Clerk must demonstrate strong organizational skills, attention to detail, and personal accountability while applying departmental procedures, court requirements, and state statutes. The ideal candidate is proactive, able to work independently, and communicates effectively when assistance is needed to ensure continuity of operations. This role involves frequent interaction with the public, judges, court staff, legal professionals, and other county departments and government agencies. Professionalism, strong communication skills, and the ability to handle sensitive information with discretion are essential. This is a fast-paced, high-volume position that requires consistent follow-through, strong prioritization, and the ability to manage competing demands without direct supervision. Key Responsibilities Manage civil litigation case files through the Efile System and internal Case Management System Ensure all filings and case actions are processed accurately and within required timeframes Monitor assigned workload and proactively address backlogs or delays Take ownership of assigned work to ensure timely and accurate completion without unnecessary backlog Process various types of civil case documents in compliance with state laws and office procedures Issue legal documents including citations, notices, and court-ordered paperwork Calculate, collect, and track court fees and other financial transactions Maintain current knowledge of relevant fee schedules, statutes, and courtroom procedures Prepare and organize initial and supplemental filings in a timely and accurate manner Research and interpret procedural and legal requirements to ensure accurate case processing Required Qualifications Demonstrated ability to manage multiple tasks and meet deadlines in a high-volume environment High School diploma or GED equivalent Proficiency in Microsoft Word, Excel, Outlook, and Adobe Ability to type a minimum of 40 words per minute Familiarity with standard office equipment (fax, copier, calculator, etc.) Preferred Qualifications Prior experience in a high-volume clerical, legal, or court environment Experience with e-filing systems or case management software Working knowledge of civil court processes Essential Skills Strong written and verbal communication skills Excellent organizational and time management abilities Effective interpersonal skills, including diplomacy and problem-solving Ability to interact professionally with diverse individuals including the public, judges, attorneys, and other government personnel Strong sense of urgency and accountability Ability to recognize when assistance is needed and proactively communicate Ability to remain organized and focused in a fast-paced environment with frequent interruptions Work Expectations This position requires consistent attention to detail, timely completion of assigned tasks, and proactive communication regarding workload or challenges. Employees in this role are expected to take ownership of their work and ensure responsibilities are completed accurately and without unnecessary delay.
