  • Occasional Pay Grade GE06 Pay Basis Semi-Monthly Advertised Salary Based on experience and qualifications Job Description Deputy Clerk II is preferrable to have Land Record experience and knowledge of land record terminology Deputy Clerk II will start with land records and deeds and eventually could be cross trained for other divisions.
Deputy Clerk II is responsible for a variety of administrative tasks in support of the circuit court functions, which includes indexing and recording documents such as deeds, deeds of trust into the court's automated system and processing the relevant documents. This class is responsible for verifying and researching land records, entering data, processing documents, retrieving information, collecting fees, maintaining cash drawer, receiving, screening and responding to a variety of inquiries by telephone, in person and providing assistance to banks, title companies, attorneys, the general public, and various city departments (i.e. city assessor, economic development, public works city attorney planning, public utilizes).This class is responsible for marriage licenses filing, land records, and notaries, copying, and scanning plats and other documents. The class works within a general outline of work to be performed; develops work methods and sequences under general supervision. This will allow our supervisor to manage effectively, efficiently for the Clerk's office, and have back up which will allow continuation to operate seamlessly with confidence and security. Deputy Clerk II must multitask in order to be able to start and stop what they are doing. Deputy Clerk II involves entering various data and involving organizing and maintaining information into Logan Systems and accessing various city applications. Responsible for researching guidelines, departmental records and updating cases correctly. Tasks but not limited to; deeds processing (responses, request and scanning), receipt copy accounts, daily mailouts, DD214, e-filing, land record and deeds, and notaries. Prepares reports, correspondence, forms and other legal documents as required, including filing and scanning documents appropriately. Receive, distribute, and process incoming mail and prepare outgoing documents for postal service. Must be able to work with customers whether in person, telephone or written correspondence requests. Customer service is a must, multitasking, and attention to details to avoid work performance errors. Deputy Clerk II develops work methods and sequences under general supervision. Must remember Circuit Court is the Keeper of the Record Required Qualifications
VOCATIONAL/EDUCATIONAL REQUIREMENT
Requires an associate's degree or any equivalent combination of education and court experience or a closely related field.
EXPERIENCE REQUIREMENT
In addition to satisfying the vocational/education standards, this class requires a minimum of two years of related, full-time equivalent experience.
SPECIAL REQUIREMENTS
Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies. Emergency operations support work and work locations may be outside of normal job duties. Preferred Qualifications Land record and deed experience. Our land records and deeds are digitized to assist our customers. Associates Arts degree or any related work background. Able to work with customers to do computer research and analysis. Must be efficient in keying, indexing or typing accurately minimum 60 wpm. Computer proficiency is preferred, multitasking, and attention to details is a must.
