POSITION SUMMARY
The Records Clerk is responsible for initiating, maintaining, updating, filing and destruction of resident documentation and records.
REPORTING STRUCTURE
The Records Clerk is a civilian position which reports directly to the Records Room Division Supervisor and/or the Major of the Records Room Division. Position is open until filled and the position is at-will.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Initiates a new record for all new offenders committed to the Richmond City Jail. Must be detailed-oriented to read and interpret court documents and update court information in Jail Tracker. Must accurately apply credits, compute sentencing information and determine the correct booking code for each record. Provides customer service to internal/external customers and agencies, the general public, courts, and attorneys. Sets up releases, turnovers, bonds and runs all VCIN/NCIC and local warrants. Keeps an open line of communication with the courts to resolve any discrepancies. Files all active and inactive paperwork. Reads and responds to all resident mail both internal and external. Creates an active file for each new commitment to the Richmond City Justice Center. Purges records in accordance with the Records Retention regulations. Maintain an accurate filing system. Purge records in accordance with the records retention regulations set forth by the Library of Virginia. Answer telephone inquires and direct them to the appropriate individual. Maintain the confidence and trust of peers, superiors and general citizenry. Responsible for all other assignments as directed by the Records Room Supervisor or Sheriff or her designee.
QUALIFICATIONS
The Records Clerk requires a High School Diploma or equivalent. Will be knowledgeable with the Freedom of Information Act and records retention regulations set forth by the Library of Virginia. Must be knowledgeable in basic filing systems and one year records clerk experience is preferred. Must have the ability to maintain confidentiality. Will be proficient in the use of Microsoft Office Suite, general office equipment and possess basic computer skills. Knowledge of Intranet and Internet use.
