Job Description
Job Summary:
We are seeking a highly organized and proactive Office Administrator to oversee day-to-day office operations, facilities management, compliance tasks, and local errands. The ideal candidate will ensure the smooth operation of the office while handling key responsibilities related to supplies, equipment, compliance, data administration, and coordinating office activities.Key Responsibilities:
Office Operations & Facilities Management:
- Oversee the maintenance and organization of the office facility.
- Coordinate with cleaning crews to ensure regular and thorough office cleaning.
- Maintain inventory of office supplies and order replenishments as needed.
- Ensure all office equipment is functional and address maintenance needs promptly.
- Manage the receipt, sorting, and sending of mail and packages.
Data Administration:
- Pull reports from key tools, such as Rent Manager, CRM, or other office-specific systems.
- Assist with data entry, organization, and basic analysis as needed.
- Manage the company Google calendars and events as required.
Compliance & Licensing:
- Maintain up-to-date records for state and local business licenses.
- Ensure compliance with DOT (Department of Transportation) certificate requirements.
- Proactively manage all licensing renewals and filings to ensure the company remains compliant with relevant regulations.
- Collaborate with internal teams and external agencies to complete compliance-related tasks accurately and on time.
Event & Meeting Coordination:
- Assist in coordinating team meetings, including scheduling, room setup, and logistics.
- Organize office-related functions such as team lunches, celebrations, or other events.
- Liaise with vendors or caterers to ensure seamless execution of events.
Local Errands & Delivery Coordination:
- Drive materials to municipal offices, such as permit documents or other paperwork.
- Pick up blueprints, permits, and other necessary items as required.
- Handle the sending and receiving of shipments and deliveries efficiently.
- Manage other local duties, including errands, with a high level of responsibility.
Other Duties:
- Support administrative tasks as needed to ensure office efficiency.
- Act as the primary point of contact for any office-related inquiries.
- Contribute to special projects or assignments as required by the management team.
Job Type:
Full-time Pay:
