Job Description

Key Responsibilities Administrative Oversight Manage incoming calls, emails, and customer inquiries. Maintain office filing systems and digital records. Handle scheduling of appointments, inspections, and meetings. Customer & Client Relations Serve as the first point of contact for customers. Follow up on leads, estimates, and completed jobs. Resolve minor customer issues before escalating to management. Sales & Production Support Enter and track estimates, orders, and invoices. Monitor project progress with field crews. Maintain CRM system with accurate data and updates. Financial & Reporting Duties Process invoices, payments, and purchase orders. Track sales performance metrics and project KPIs. Provide weekly and monthly reports to management. Team Coordination Support sales reps and crews with scheduling, communication, and documentation. Onboard new office staff and maintain standard operating procedures. Ensure compliance with company policies and local regulations. Competencies Strong organizational and time management skills. Excellent written and verbal communication. Proficient in CRM and office software. Ability to multitask and prioritize under pressure. Problem-solving mindset for customer and internal issues. KPIs / Success Metrics On-time project documentation and reporting. Accuracy in CRM and invoicing. Customer satisfaction ratings. Sales support efficiency (leads processed, follow-ups completed). Field crew schedule adherence.
