  • Full-time Job Summary We are seeking a dynamic and organized Office Manager/Registrar to oversee the daily operations of our educational institution's administrative functions.
This pivotal role combines office management with academic registration responsibilities, ensuring smooth coordination between students, faculty, and administrative staff. The ideal candidate will be proactive, detail-oriented, and passionate about supporting educational excellence. You will play a key role in maintaining efficient processes, managing student records, and fostering a welcoming environment for all campus visitors and stakeholders.
MINIMUM QUALIFICATIONS
  • Strong background in maintaining personnel and financial records and related campus administrative policies and procedures.
  • High school diploma or equivalent required/college preferred.
  • Must maintain high degree of confidentiality and professionalism at all times.
  • At least three years of experience working in business area.
  • Experience working in public schools preferred.
  • Must possess exceptional communication and writing skills.
  • Ability to efficiently and effectively operate computers accounting software, calculators and general office equipment.
  • Ability to work independently and make decisions in accordance with established policies and regulations
POSITION DESCRIPTION
The Office Manager/Registrar will provide oversight of the front office and related campus administrative policies and procedures. The Office Manager will assist in covering the reception area, receiving visitors, and answering phone calls. The Office Manager will support the recordkeeping activities relating to these functions, including but not limited to insuring the propriety, timelines, accuracy, and compliance with District, State, and Federal policies, laws, and regulations. The Office Manager/Registrar will provide oversight of all student records and related campus administrative policies and procedures as well as maintain manual records of students and administer data processing registration and scheduling of students. The Office Manager/Registrar will collect, verify and input data on behalf of the district while insuring propriety, timelines, accuracy, and compliance with District, State, and Federal policies, laws and regulations.
The Office Manager/Registrar shall also:
  • Assist in establishing registration and related policies and procedures
  • Assembles, inputs, and updates all new and transfer student data into the computer
  • Enters demographic information on all new students into the computer and updates withdrawals as required
  • Research and correct all data error listings
  • Assists with answering all incoming phone calls
  • Balances six weeks principal's report of attendance
  • Generate various reports as required by the state and/or district Assist in maintaining Master Schedule
  • Maintain and ensure the integrity of students' transcript information in system and in files
  • Perform special projects as assigned by supervisor, including reporting, and development of other related policies and procedures
  • Provide information to staff and outside organizations and agencies as directed by the supervisor
  • Receive, address, and respond to correspondence and phone calls relating to such matters from teachers and other administrators, outside agencies and organizations
  • Manage office personnel schedules as established by the School Leader Maintain all employee personal leave requests in a timely manner.
Prepare and maintain reports such as timesheets for payroll process on employees, substitutes and traffic patrol. Follow the Payroll Processing Schedule and distribute manual documents to employees. Which also includes the maintenance, management and updating the time clock. Collect and maintain personnel records. Track and update personal leave and workshops for all employees. Submit workshop and PO requests for processing. Process and submit requested information related to hiring/termination/resignation documentation to the educational service provider Academica for all employees to include teachers, paraprofessionals, office staff, custodians, substitutes and traffic patrol. Maintain and record key log and master keys. Serve as a line of communication from employees to Principal as well as redirect teacher and parent concerns to appropriate staff, department, or administration Notify employees of any updates or changes in procedures (address verification, TRS changes, and direct deposit), as directed by the business office. Maintain confidentiality of all campus, students, and family information. Responsible for confirmation of all deliveries Authorized to sign for delivery of supplies/merchandise. Works with vendors to complete new vendor processing and approval by coordinating with the business office. Open all mail/bills for the school/district and track receipt of said such mail/bills Assist with processing of payroll as directed by management company Organizational skills required to perform multiple tasks Perform other related duties as assigned by Head of School, Finance or Human Resources/Payroll Coordinate field trip/volunteer paperwork for submission and assigning bus transportation requests. Assist in coordination of athletic event transportation requests. Assist with special school business events, student recruitment. Other related duties as assigned by Principal Maintain regular and routine attendance Maintain a professional demeanor with students, staff and parents Maintain emotional control under stress.
WORKING CONDITIONS/PHYSICAL DEMANDS
May be required to work more than 40 hours during the work week The usual and customary methods of performing the job's functions require the following physical demands: May lift 5-10 pounds frequently, 10-50 pounds occasionally, and more than 50 pounds infrequently. Must maintain emotional control under stress. Frequent walking, standing, stooping, kneeling, bending, and twisting. May move small stacks of textbooks, media equipment, desks and other classroom or adaptive equipment. May work indoors and outdoors in varying climate conditions. Subject to visual acuity, speech/hearing, hand/eye coordination and manual dexterity. coming environment for all campus visitors and stakeholders.
