SUMMARY:
Under the direction of the VP, Operations West the Manufacturing/Office Administrator plays a support role across various administrative functions including production scheduling, purchasing, receiving, inventory management, and shipping. This position ensures smooth day-to-day operations by maintaining accurate records, coordinating workflows through Epicor Prophet (P21), supporting production and purchasing activities, and providing front-office support. The ideal candidate is highly organized, detail-oriented, confidential and comfortable working across multiple departments in a fast-paced manufacturing or production environment.
JOB DUTIES
Maintain phone directory/system and greet visitors in a professional manner. Assist in HR activities including hiring and employment benefit administration. Scan and file production/quality documents into designated OneDrive folders. Assist with entering and adjusting inventory-related data. Enter production reports accurately and in a timely manner. Monitor and replenish production/office break room supply levels. Enter new jobs into the production schedule and prepare job files for contract review. Update job information in ERP (P21) as provided by both operation and design personnel. Generate packing slips and related documentation for completed orders. Update shipped orders in P21 and process them for invoicing by Accounts Receivable. Process approved purchase requests from both admin and production teams. Assist purchasing in identifying alternative suppliers including supplier development activities. Follow up with suppliers regarding purchase order delivery dates. Accurately enter transfer receipts and adjustments in P21. Receive purchased items into P21 and scan/attach supporting documents as required. Assist with kitting parts or entering new parts into VLM. Support reoccurring inventory cycle counts and reconciliation. Assist in preparing completed job documentation for shipment in accordance with both customer and logistical requirements. Generate shipping labels and documentation for outgoing packages. Assist in maintaining a clean, neat, and organized manufacturing and office environment at all times. Perform other duties as assigned to support operational efficiency.
DESIRED SKILLS
High school diploma or equivalent required; additional education or training preferred. Prior administrative experience in a manufacturing, machine shop/fabrication, or production environment preferred. Familiarity with ERP or production management systems…Epicor Prophet (P21) or Modula Lift experience a plus. Strong organizational skills and attention to detail. Ability to manage multiple tasks and priorities simultaneously. Proficiency in MSOffice (Word, Excel, PowerPoint, OneNote, OneDrive, SharePoint, TEAMs, etc.) and scanning/document management. Strong communication skills and ability to work collaboratively across departments. Ability to lift and move packages as required for receiving and shipping. Ability to work in both "Best in Class" office and shop/warehouse environments. Standing, walking, and light physical activity required throughout the workday.
