Terms of Employment 10 Months, Full-time, 8 hrs per day, 5 days per week District paid employee, medical, dental and life insurance Exempt Required-AZ IVP Fingerprint Clearance Card Title School Office Supervisor Qualifications 1. High School Diploma or GED. 2. 3-years of secretarial experience including one year working in an area supporting administration or/and equivalent combination of education and experience to successfully perform the duties of the job. 3. 1-year experience working in a lead or supervisory capacity desirable. 4.
Knowledge required:
a. Management theory and practice including supervision. b. General office procedures, practices, and time management. c. Policies, procedures, rules, regulation of the district and school. d. School operations, procedures, and protocol. e. Federal and state laws governing area of assignment. f. Personal computers, related software applications including word processing, databases, and spreadsheets and other types of office equipment. g. Proper English grammar and composition. h. Interpersonal relations skills. 5.
Competencies required:
a. Scheduling, assigning, and reviewing work of others. b. Conducting performance reviews. c. Organizing and working independently. d. Gathering data, composing, drafting, and editing written work. e. Communication and telephone etiquette. f. Interpersonal relation skills applied to interactions with others. g. Handling and maintaining confidentiality. h. Using a personal computer in a variety of software applications. i. Using various types of office equipment. j. Organizing and maintaining various types of filing systems. 6. Such alternatives to the above qualifications as the Board may find appropriate and acceptable. Reports To Principal Job Goal Under direction provides support and assistance to the Principal by performing a variety of activities related to the daily operation of the school. Examples include preparing and reviewing paperwork, reports, and other documents; disseminating key information and suggestions to co-workers and other staff; resolving issues or directing them to the appropriate area; maintaining confidentiality, screening phone calls, filing, reviewing, and routing mail; and working with the Principal; oversees the daily activities of the office and staff. Performance Responsibilities 1. Provides linkage between the school and district departments. Serves as a liaison between Principal's office and the community, including screening complaints, resolving routine issues, and providing follow-up. 2. Prepares meeting notices, agendas, packets, and materials for Principal's use. Coordinates meeting logistics, including location and food items. Maintains various calendars including Principal's appointments, school activities, and facilities use calendars. 3. Maintains student and school records and other required documents including registration and emergency notification, faculty, staff, and student attendance. Prepares and maintains time sheets, attendance, substitute logs, and payroll records as necessary. Assists in preparation/maintenance of student master schedule. 4. Oversees day-to-day operation of the Principal's office. Screens phone calls, directs inquiries to the appropriate area, receives visitors, sorts and routes incoming mail, prepares and posts correspondence, drafts routine responses, transcribes confidential dictation, identifies sensitive issues and brings them to the immediate attention of the Principal. 5. Composes and prepares letters, bulletins, memos, handbooks, newsletters, Board Reports, and forms such as purchase order and supply requisitions. Prepares special reports and assists teachers as directed. 6. Supervises office staff, resolves conflicts, determines work loads, monitors performance, performs training functions, and assists the Principal in recommending new hires, terminations, and conducting performance evaluations. 7.
