Position Summary Roya Health is seeking a highly organized, proactive, and patient-focused Front Office Manager to oversee daily front office operations and administrative functions. This individual will serve as the first point of contact for patients, providers, and external partners while ensuring efficient management of referrals, scheduling, credentialing, compliance activities, and office operations. The ideal candidate possesses strong healthcare administrative experience, exceptional customer service skills, and the ability to manage multiple priorities in a fast-paced environment. This role is critical to support patient care, provider operations, and organizational growth. Key Responsibilities Front Office Operations Answer and manage incoming phone calls professionally and efficiently, directing inquiries to appropriate team members. Greet patients and visitors, creating a welcoming and professional environment. Schedule patient appointments and coordinate provider calendars. Complete patient registrations, including insurance verification and eligibility checks. Maintain accurate patient records and ensure documentation is properly completed and filed. Support patient intake processes and assist with administrative requests. Referral Management Process incoming and outgoing patient referrals accurately and timely. Coordinate communication between referring providers, specialists, patients, and health plans. Monitor referral status and ensure all required documentation is obtained. Track referral outcomes and maintain organized referral records. Clinical Support Obtain and document patient vital signs as needed, including blood pressure, pulse, weight, and other basic measurements. Communicate patient information and concerns to clinical staff appropriately. Assist with medication refill requests as directed. Maintain compliance with patient privacy and infection control protocols. Credentialing & Compliance Management Manage all provider credentialing and recredentialing activities. Conduct primary source verification of provider licenses, certifications, education, training, and professional credentials in accordance with regulatory and payer requirements. Prepare and submit credentialing applications to Medicare, Medicaid, commercial insurance plans, and regulatory organizations. Track and monitor provider licenses, DEA registrations, board certifications, malpractice insurance, and other required credentials. Maintain accurate credentialing files and databases. Develop and improve credentialing workflows, policies, and documentation procedures. Ensure compliance with federal, state, accreditation, and payer credentialing standards. Serve as a liaison with health plans, credentialing organizations, and regulatory agencies. Administrative & Office Management Maintain a clean, organized, and efficient office environment. Monitor and order office and clinical supplies as needed. Assist leadership with administrative projects and operational initiatives. Prepare reports and support data tracking activities. Coordinate office communications and documentation management. Customer Service Deliver exceptional customer service to patients, caregivers, providers, and community partners. Address patient concerns professionally and escalate issues when appropriate. Foster a positive and compassionate patient experience. Required High school diploma or equivalent. Minimum of 2 years of healthcare administrative or front office experience. Strong organizational, time management, and multitasking abilities. Excellent verbal and written communication skills. Proficiency with Microsoft Office Suite and electronic medical record (EMR/EHR) systems. Ability to maintain confidentiality and comply with HIPAA regulations. Strong attention to detail and problem-solving skills. Bilingual in English and Spanish required. Preferred Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or related field. Experience with provider credentialing and payer enrollment processes. Experience working in behavioral health, primary care, population health, or value-based care settings. Physical Requirements Ability to sit, stand, and walk throughout the workday. Ability to occasionally lift up to 25 pounds. Ability to perform basic patient vital sign measurements. Work Schedule Full-time, onsite position. Schedule includes Saturday coverage and four weekdays, based on organizational needs. Occasional schedule flexibility may be required to support operational priorities.
