We're moving into a brand-new office and scaling our team — and we're looking for a sharp, dependable Office Administrator to grow with us. About the Role This is a hands-on, high-responsibility position at the center of our daily operations. You'll be the glue between our project managers, technicians, customers, and trade partners — keeping the office organized, the schedule tight, and the jobs moving. HVAC office experience is required.
Responsibilities Daily Operations & Scheduling:
Handle morning overflow and same-day scheduling with project managers Customer scheduling Technician scheduling Schedule and coordinate installations Schedule and coordinate new builds (rough-ins and trim-outs) Schedule crane services (in and out of valley) Set up maintenance agreements via
Housecall Pro Billing, Payments & Data Entry:
Billing on all jobs Ordering metal, units, and parts Paying for metal, units, and parts Paying plumbers, electricians, and crane services Data entry
Estimating & Warranty:
Estimating for project managers Estimating for customers Working with insurance on estimates Warranting units
Team & Customer Relations:
Project manager relations Coordinating with technicians, trade partners, and customers What We're Looking For Prior HVAC office experience (required) Experience with Housecall Pro is a strong plus Strong multitasking, organization, and follow-through Comfortable juggling phones, scheduling, billing, and estimating simultaneously Professional communication with customers, technicians, and project managers Reliable, detail-oriented, and team-focused Benefits Competitive pay and a benefits package currently being finalized — details will be shared during the interview process.
