Job Description

Position Summary We are seeking an experienced and highly organized Primary Care Office Manager to oversee the daily operations of a busy outpatient primary care practice. The ideal candidate will have strong leadership skills, experience managing a small medical office, proficiency with AthenaOne (Athenahealth), and working knowledge of QuickBooks. This individual will be responsible for staff management, patient satisfaction, operational efficiency, financial oversight, and ensuring compliance with healthcare regulations. Key ResponsibilitiesPractice Operations Manage the day-to-day operations of the medical office. Ensure smooth patient flow and efficient scheduling. Monitor office productivity and implement process improvements. Maintain office policies, procedures, and workflows. Coordinate vendor relationships and office supplies procurement. Address patient concerns and resolve service-related issues professionally. Staff Management Supervise and support front office and clinical staff. Assist with recruiting, interviewing, hiring, onboarding, and training employees. Conduct performance evaluations and provide coaching as needed. Develop and manage employee schedules to ensure adequate coverage. Foster a positive and collaborative workplace culture. Address employee concerns and maintain compliance with company policies. AthenaOne Management Utilize AthenaOne for scheduling, patient registration, insurance verification, billing oversight, and reporting. Monitor provider schedules and appointment utilization. Generate and analyze operational and financial reports. Troubleshoot workflow issues within the EMR and coordinate with Athena support when necessary. Train staff on AthenaOne best practices and workflow improvements. Financial Management & QuickBooks Manage accounts payable and accounts receivable functions. Process invoices and maintain accurate financial records using QuickBooks. Reconcile bank statements and credit card transactions. Assist with monthly financial reporting and budgeting. Monitor office expenses and identify cost-saving opportunities. Coordinate with external accountants and payroll providers as needed. Compliance & Quality Assurance Ensure compliance with HIPAA, OSHA, CLIA, and applicable healthcare regulations. Maintain personnel files and required documentation. Support quality improvement initiatives and accreditation requirements. Monitor completion of mandatory employee training and certifications. Patient Experience Promote exceptional customer service standards. Resolve patient complaints and concerns promptly. Monitor patient satisfaction and implement improvement strategies. Ensure a welcoming and professional office environment. QualificationsRequired Minimum 3 years of medical office management experience, preferably in primary care or family medicine. Hands-on experience with AthenaOne (Athenahealth). Proficiency in QuickBooks. Experience supervising and managing staff. Strong understanding of medical billing, insurance verification, and healthcare operations. Excellent communication, leadership, and problem-solving skills. Strong organizational and time management abilities. Proficiency in Microsoft Office Suite. Preferred Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or related field. Experience with payroll processing and HR functions.
