Job Description

Job Summary The role of the Office Administrator is responsible for maintaining the office environment in a presentable, warm, orderly, clean, and professional manner. This person has the organizational skills to be able to prioritize, perform, and complete the various tasks assigned. Responsibilities Provide a warm welcome to all office visitors. Responsible for ensuring the office remains clean, organized, well-stocked, and presented in a professional manner. Assist with the planning and coordination of company and client events, including meetings and team-building activities. Utilize QuickBooks for financial tracking and reporting. Be knowledgeable about company benefits to assist staff as needed. Compile time sheets and expense reports to submit to 3rd party payroll services. Accounts Receivables and past due collection calls and reduce A/R by 10%. Handle administrative tasks such as scheduling appointments, maintaining records, shipping, RMA's, and inventory management. Collaborate with vendors for supplies and services, ensuring quality and cost-effectiveness. Customer parts quoting and manage online sales. Prioritize, perform, and complete assigned projects. Demonstrates a strong capacity to rapidly learn and understand IT concepts and terminology. Assist in human resources functions, including onboarding new employees and maintaining personnel records. Requirements Proven experience in office management or administrative roles. Loves to learn about new technology and commits to achieving general technology certifications. Proven professional with excellent interpersonal, written, verbal, presentation and time management skills. Strong skills in budgeting and financial management. Experience with event planning and coordination. Proficiency in QuickBooks or similar accounting software is required. Excellent organizational skills with attention to detail. Must be able to lift up to fifty (50) lbs and have own reliable transportation. Effective communication skills, both verbal and written. Ability to multitask and prioritize responsibilities in a fast-paced environment.
