Duties Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth Answer multi-line phone systems promptly, providing excellent customer service and support to callers Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and records Handle data entry tasks accurately using tools like Microsoft Office and Google Workspace to update databases and spreadsheets Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking Provide clerical support such as proofreading documents, preparing correspondence, and managing mail distribution Oversee office supplies inventory, placing orders as needed to ensure smooth daily operations Offer customer support by addressing inquiries professionally via phone or email with excellent phone etiquette Perform general office management duties to enhance productivity and maintain a well-organized workspace Skills Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) Familiarity with QuickBooks or other bookkeeping software for basic financial tasks Excellent computer literacy with the ability to navigate multi-line phone systems and data entry platforms Strong clerical skills including proofreading, filing, and document preparation Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment Experience in customer service roles with polished phone etiquette and professional demeanor Personal assistant experience or calendar management skills are highly valued for supporting leadership needs Join us in a role where your organizational expertise makes a real difference!
