We are looking for a full-time receiptionist and office administrator, who is able to work 8:30am - 5:00pm at a starting pay of $25.00 which a step-up payment after 2 months. We are a fast growing company, family owned and run that maintains a friendly office culture with a flat organizational structure as more than half our team work remotely or abroad. Additionally, there will be room to grow and move to other positions, as every receiptionist who joined our company has been promoted to other roles in Accounting, Client Retention, Onboarding, etc. Overview This role is full-time, in-person, and involves welcoming clients and assisting in answering questions, collecting their association or property payments, assisting depositing checks from clients, answering calls, The ideal candidate for this role is someone exposed to property and association management, but not required. The ideal candidate is someone with a positive attitude and energy, who can work without direct supervision or micromanagement, and has excellencent communication and organizational skills. The job is less of a receiptionist role (taking calls, helping a few people each day who come in office), and more of an administrative role (organizing office supplies, organizing mail and sorting to the team, sending updates to team members) Duties Greet visitors and clients warmly, providing exceptional customer service and ensuring a professional first impression. Manage multi-line phone systems, directing calls accurately and courteously while maintaining phone etiquette. Handle front desk operations including scheduling appointments, managing calendars, and coordinating meetings using tools like Google Workspace and Microsoft Office. Perform data entry, filing, and document proofreading to maintain organized records and ensure accuracy across all communications. Support office management tasks such as supply inventory, mail distribution, and maintaining cleanliness of the reception area. Assist with bookkeeping tasks using QuickBooks or similar software to support basic financial recordkeeping. Provide administrative support including typing correspondence, managing calendar updates, supporting personal assistant duties, and ensuring efficient time management.
