In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support our team by managing administrative tasks, coordinating communication, and providing exceptional customer service. This position offers an exciting opportunity to develop your office management skills in a fast-paced environment where your proactive attitude makes a real difference. Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately Maintain organized filing systems, both physical and digital, including data entry and document proofreading Schedule appointments, manage calendars, and coordinate meetings using Google Workspace and Microsoft Office tools Assist with bookkeeping tasks using QuickBooks and perform basic office bookkeeping responsibilities Provide excellent customer support via phone, email, or in person, ensuring positive interactions at all times Support office management activities such as supply inventory, filing, and general administrative support to various departments Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Experience with QuickBooks for bookkeeping and financial record keeping Excellent organizational skills with the ability to multitask effectively in a busy environment Bilingual abilities are highly preferred to assist diverse client needs and enhance communication Prior office experience or clerical background demonstrating familiarity with administrative procedures Exceptional phone etiquette and customer service skills to create a welcoming environment Ability to perform data entry quickly and accurately while maintaining attention to detail Strong time management skills to prioritize tasks efficiently and meet deadlines Personal assistant or medical/dental receptionist experience is a plus for understanding specialized workflows Join us as an Office Administrator where your enthusiasm, organizational prowess, and dedication will contribute significantly to our vibrant team!
