This vital role combines front desk responsibilities with comprehensive office management duties, ensuring smooth daily operations and a welcoming environment for clients, visitors, and staff alike. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to handle a variety of administrative tasks efficiently. This paid position offers an exciting opportunity to be the first point of contact for our organization while supporting overall office functions with professionalism and enthusiasm. Responsibilities Greet visitors, clients, and vendors warmly, providing exceptional customer service and maintaining a professional reception area Manage multi-line phone systems, screen calls, take messages, and direct inquiries accurately Handle front desk operations including scheduling appointments, managing calendars, and coordinating meetings Perform data entry, filing, and document proofreading to ensure accuracy and organization of office records Utilize Office management software such as QuickBooks and Google Workspace for invoicing, bookkeeping, and correspondence Support administrative tasks like mailing, photocopying, scanning, and maintaining office supplies inventory Assist with bookkeeping activities including basic bookkeeping using QuickBooks and tracking expenses Qualifications Proven experience in office administration or clerical roles with strong organizational skills Familiarity with multi-line phone systems and excellent phone etiquette Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Strong computer literacy with the ability to learn new software quickly Bilingual abilities are a plus to serve diverse client needs effectively Previous experience as a receptionist or in customer support roles preferred Excellent time management skills with the ability to prioritize tasks efficiently Experience with medical or dental receptionist duties is advantageous but not required Personal assistant experience or calendar management skills are highly valued Join us to be part of a vibrant team where your organizational talents will shine!
