Job Summary:
Davis Wills & Trusts PC, an estate planning law firm focused on providing compassionate and personalized legal services, is seeking a professional and organized Legal Assistant / Office Manager. This position serves as the first point of contact for visiting clients and supports daily office operations to ensure a welcoming, efficient, and professional environment. The ideal candidate is an experienced, dependable, detail-oriented professional, who is comfortable managing both front desk responsibilities and administrative office tasks in a confidential fast-paced law firm.
Roles and Responsibilities:
Reception & Client Services Greet clients and visitors in a professional and courteous manner Provide refreshments, coffee, or other accommodation Handle incoming and outgoing mail and deliveries Provide a warm and supportive experience for clients and families Maintain client confidentiality and professionalism at all times Enter client data in office systems, as needed Learn and use real property records retrieval system Administrative & Office Management Support Maintain organized physical and electronic client files Assist with document printing, assembling, scanning, copying, and filing Handle conference room clearing, setup, and general office organization Coordinate vendor communication and office equipment service appointments Handle client credit card payments Help maintain office procedures and operational efficiency Required Qualifications 3+ years full time work as a receptionist, assistant, or office manager in a professional office setting
Bonus:
California Licensed Notary and/or 1+ year of experience in an estate planning law firm Required Skills & Attributes Professional communication and interpersonal skills Excellent organizational and multitasking abilities Familiarity with Microsoft Office programs Professional appearance and positive attitude Punctuality, reliability, and extreme attention to detail Customer service mindset with empathy and patience
