Job Description

Office Manager Soul Tide Outpatient Psychotherapy, P.C. San Diego, CA About the Role Soul Tide Outpatient Psychotherapy is looking for an organized, proactive, and empathetic Office Manager to lead our administrative operations. As a growing mental health practice, we need a "hub" for the office—someone who can balance the technicalities of insurance and billing with the warmth required to support our clinicians and patients. The ideal candidate is someone who thrives on creating efficient systems and ensures that the "business side" of the practice runs seamlessly so our providers can focus entirely on patient care.
Key Responsibilities Practice Operations:
Oversee daily administrative functions, including facility management, supply procurement, and coordinating office schedules.
Patient Coordination:
Act as the primary point of contact for new and existing patients, managing the intake process, scheduling, and onboarding with a high level of professionalism and privacy.
Insurance & Billing:
Navigate insurance contracting, verify benefits, manage credentialing updates, and handle patient billing/claims to ensure steady practice revenue.
Clinician Support:
Provide administrative assistance to our team of psychologists and clinicians, helping with documentation workflows and onboarding new staff members.
Financial Administration:
Assist with basic bookkeeping tasks, managing accounts payable/receivable, and maintaining organized financial records.
System Management:
Maintain and optimize our Electronic Health Record (EHR) system and other digital tools to ensure data integrity and HIPAA compliance.
Qualifications Experience:
3+ years of experience in office management, specifically within a medical or mental health setting.
Insurance Savvy:
Proven experience with medical billing, insurance verification, and navigating provider portals.
Technical Proficiency:
Advanced skills in EHR software, Google Workspace, and project management tools.
Communication:
Exceptional verbal and written communication skills, with the ability to handle sensitive clinical situations with poise.
Education:
Bachelor's degree in Business Administration, Healthcare Management, or a related field preferred.
