PM, Monday-Friday Position Overview:
San Joaquin Figs is seeking a seasoned, dependable, and highly professional Front Office Administrator to support daily office operations and serve as a trusted first point of contact for our organization. This position is best suited for an individual with demonstrated experience in a professional office environment who can operate independently, manage competing priorities, and uphold a consistently high standard of professionalism.
Key Responsibilities:
Serve as the primary front office representative, presenting a polished, professional image at all times. Confidently manage visitor interactions and phone communications with minimal supervision. Oversee front office workflows, including visitor check-in, mail handling, and package coordination. Prepare and process shipping documentation accurately and efficiently, ensuring compliance with internal procedures. Maintain detailed and accurate shipping and inventory records. Utilize Microsoft Word, Excel, Outlook, and other Office applications to manage correspondence, scheduling, tracking, and reporting. Proactively coordinate with internal teams to support operational efficiency and timely delivery of materials. Independently manage administrative tasks such as document control, filing systems, and office supply inventory. Provide consistent, reliable administrative support to leadership and staff as required.
Qualifications:
High school diploma or equivalent required; additional education or certification in office administration strongly preferred. Minimum of 5 years of experience in a professional front office, administrative, or office support role. Bilingual Spanish/English skills preferred but not required. Advanced proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook. Proven track record of reliability, sound judgment, and attention to detail. Strong organizational and time-management skills with the ability to prioritize independently. Professional demeanor with the confidence to interact effectively with clients, vendors, and internal stakeholders.
