JOB DUTIES/ RESPONSIBILITIES
Supervise office staff by assigning tasks, providing training, and ensuring efficient and professional operations.
Supervise the After School Coordinator; provide support in the planning and operations of the After School Program
Provide administrative support to school leadership, including scheduling, communications, and coordinating daily activities.
Serve as the primary front desk contact, welcoming visitors, answering phones, and directing inquiries in a courteous manner.
Maintain organized filing systems and ensure student and school records are accurate, confidential, and up to date.
Handle general clerical tasks such as copying, scanning, data entry, mail distribution, and ordering office supplies.
Coordinate communication between the school, families, and community, including managing announcements and scheduling meetings.
Ordering supplies for classrooms, students, and staff to ensure all departments have the necessary materials.
Arrange transportation logistics for student trips and school/staff events.
Assist with compliance tasks by tracking attendance, enrollment data, and preparing reports for audits or reviews.
Maintains organized records of all school-related contracts and official documents to ensure compliance and accessibility.
Oversees and ensures timely and accurate submission of school compliance reports and documentation in accordance with regulatory requirements.
Maintain a safe and orderly office environment by enforcing visitor procedures and supporting school safety protocols.
Performs other duties as assigned by their supervisor.
REQUIRED SKILLS & ABILITIES
Strong verbal and written communication skills, with the ability to communicate clearly and professionally with staff, families, and community members.
Proficient typing skills, with a minimum speed of 60 words per minute.
In-depth understanding of office management practices, procedures, and tools to ensure smooth and efficient operations.
Exceptional interpersonal skills with a focus on providing outstanding customer service in a school setting.
Highly organized with strong attention to detail, ensuring accuracy in tasks and documentation.
Effective time management skills with a consistent ability to prioritize tasks and meet deadlines in a fast-paced environment.
Proficiency in using office software and technology, including Google Workspace (Docs, Sheets, Calendar) and student information systems or databases.
Ability to handle sensitive information with discretion, maintaining confidentiality in all matters related to students, staff, and school operations.
Problem-solving and critical thinking skills, with the ability to anticipate needs, resolve issues quickly, and support smooth daily operations.
EDUCATION AND EXPERIENCE
High-school diploma or equivalent; supplemented by college-level business coursework and two (2) years of progressive secretarial experience. Additional education may substitute for some experience.
At least three (3) years of clerical work experience OR at least three (3) years of work experience in a field related to the company preferred.
