Job Description
Job Summary Financial services office located in Glendale, currently in search of an administration assistant, this includes data entry for bookkeeping, client service, scheduling appointments, and other various office tasks. Ideal candidate MUST be bilingual (Spanish), organized and able to multi-task as we do get a significant number of phone calls with clients and the home office. Must have strong attention to detail and is proficient with Office 365 (Excel, Word and Outlook). Background in office work is preferred but not a requirement. Duties Manage front desk responsibilities, greeting visitors and handling inquiries with professionalism and warmth Operate multi-line phone systems, directing calls accurately and courteously using proper phone etiquette Maintain organized filing systems, including digital files via Google Workspace and Microsoft Office applications Perform data entry tasks with precision, ensuring accuracy in records such as client information, appointments, and billing details Support office management functions including calendar management, scheduling meetings, and coordinating appointments Provide excellent customer service by supporting clients, and team members promptly and efficiently Handle clerical duties such as proofreading documents, managing correspondence, and maintaining office supplies Requirements Proven experience in office administration or clerical roles with strong organizational skills Bilingual (Spanish) Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent phone etiquette with experience managing multi-line phone systems High school or equivalent Customer service: 1 year (Preferred) Demonstrated ability to multitask efficiently while maintaining attention to detail and time management skills Must have strong people/customer service skills Previous office experience combined with personal assistant or administrative experience is preferred Please email your resume with "Bilingual Admin Assistant" in the subject line.
