Job Description:
The Office Manager is the operational backbone of the Zena Studios Los Angeles office. This person ensures the day-to-day running of the physical office, supports the executive team with scheduling and administrative tasks, manages vendor relationships, and serves as the first point of contact for facilities, finance administration, and HR coordination. The role requires someone who is highly organized, discreet, and comfortable operating in a fast-moving, entrepreneurial environment tied to a publicly traded technology company. Key Responsibilities Manage day-to-day office operations including facilities, supplies, equipment, and vendor relationships for the LA office Provide executive assistance to the Development Executive and senior staff, including calendar management, travel coordination, and meeting preparation Coordinate onboarding logistics for new hires in partnership with ZenaTech HR, including workspace setup, equipment procurement, and orientation scheduling Handle accounts payable administration for the LA office - process invoices, track expenses, and liaise with ZenaTech finance on budget reporting Maintain office policies, procedures, and compliance documentation in coordination with ZenaTech legal and HR Support production and development activities with logistical coordination - booking screening rooms, arranging pitch meetings, and managing guest and visitor access Act as liaison between the LA office and ZenaTech corporate (Chicago), ensuring timely communication and alignment on operational matters . Required Qualifications 3+ years of office management or executive assistant experience, preferably in entertainment, media, or a technology company Exceptional organizational and multitasking skills with strong attention to detail Proficiency with Google Workspace, Microsoft Office, and project or task management tools Demonstrated discretion handling confidential information in a professional environment Strong written and verbal communication skills; comfortable interfacing with senior executives, talent, and external partners Preferred / Nice to Have Experience supporting a start-up or lean creative office during a period of growth Familiarity with entertainment industry workflows, production schedules, or studio operations Experience coordinating across time zones with a distributed corporate parent or headquarters.
