  • Full-time Job Summary CleanQuest Laboratory specializes in toxicology testing for the Southern California area.
Samples are processed in our lab using advanced technology. We are seeking a highly organized Office Manager to support daily administrative and operational workflows. Responsibilities will cover multiple departments, with primary duties including handling documents, processing mail, accessioning, maintaining inventory, and ensuring clear communication. The ideal candidate is detail-oriented, efficient, and able to manage multiple priorities in a fast-paced environment. Responsibilities Handle sensitive documents : prepare, review, and submit requests via mailing platform, ensuring accuracy and completeness. Maintain precise data entry and tracking information consistently within protected spreadsheets. Ensure timely electronic delivery and efficient tracking of medical records between departments. Manage documentation workflow, including legal paperwork requests and archives. Review inbound/outbound mail : efficiently process incoming mail by sorting, stamping, scanning, and uploading to the electronic filing cabinet. Upload electronic payments to the electronic filing cabinet. Notify appropriate departments regarding post updates. Supervise sample receiving : complete the full sample accessioning workflow, including pre

Receive samples, review and scan orders, and upload forms with high accuracy. Review, verify, and update sample documentation to ensure data accuracy. Maintain and update laboratory-related spreadsheets as instructed by the clinical laboratory scientist and director of operations. Maintain office standards : coordinate biohazard waste management, including scheduling biohazard bin pickups and signing for services. Schedule cleanings and enforce workplace trash etiquette. Monitor and ensure all laboratory licenses and certifications remain current and compliant. Manage inventory : monitor inventory levels and place orders to maintain adequate stock of essential materials. Prepare, package, and ship testing supplies to testing facilities in a timely manner. Receive, log, and organize incoming shipments while updating relevant communication channels to keep teams informed. Coordinate communications between billing, laboratory, office, and client services to ensure efficient operations. Assist the Director of Operations with daily and long-term projects as needed. Skills Proven experience in office management and/or administrative roles with strong organizational capabilities. Proficiency in Microsoft Excel, Google Workspace (Gmail, Drive), and other internal software for medical records. Excellent communication skills with strong phone etiquette. Strong clerical skills including data entry, filing, proofreading, and document management. Adept at time management to prioritize tasks efficiently in a fast-paced environment. Knowledge of office equipment operation such as printers, scanners, fax machines, and basic troubleshooting skills. Our tentative start date will be May 19, 2026. Thanks for your interest!
