This role requires someone who thrives in a fast-paced environment. They are detail-oriented, have an aptitude for accuracy, and are very organized. Given the access to sensitive data, including financial information and employee and student records, absolute discretion, professionalism, and confidentiality are essential in this role.
The Responsibilities:
Provide administrative support for the Associate Head of School, Dean of Faculty, and Chief Financial & Operations Officer. This includes scheduling, planning, and coordination. Coordinate slides for presentations and guest speakers for the faculty and staff meetings. Schedule faculty course evaluation student feedback surveys, and coordinate sub coverage. Process approved Professional Growth reimbursements, collect professional growth reports, and maintain accurate records. Process reimbursements, invoices, and payment requests, ensuring all expenses are accounted for and properly authorized. Assist in preparing for audits by gathering necessary financial records and documentation. Manage accounts payable email inbox, ensuring follow-through with requests and correspondence. Maintain strong internal controls to prevent errors and fraud in financial transactions and reporting. Investigate and resolve discrepancies for finance. Perform regular reconciliations to ensure accuracy and completeness. Collect and reconcile monthly credit card charges for all accounts. Manage Certificates of Insurance. Collaborate with the Accounting Manager to provide support, as needed. Provide seasonal support for the Summer Day Camp Program. Serve as relief and backup for the Attendance Office and Front Desk. Collaborate with the Parent Volunteer for the Student Store. Special projects and other duties as assigned for the Business Office.
Qualifications Desired:
A Bachelor's degree or certification in accounting is preferred. Minimum 2 years of accounting/finance experience and experience supporting the executive level. Proficient and comfortable with Microsoft Office Suite, accounting software, spreadsheets, and databases. Excellent mathematical skills. Proficient with data entry. Ability to maintain orderly digital records. Responsive to requests in person, by email, or by phone. Flexibility to adjust to unexpected tasks that may arise. A keen eye for detail and accuracy. Dependable and reliable. Strong organizational skills and ability to multitask. Flexibility to adjust to changing schedules or unexpected tasks that may arise. A great work ethic and communication skills, be easy & flexible to work with, and take initiative and ownership of any situation. Self-motivated, cooperative, personable, and comfortable seeking assistance when necessary. Ability to complete multiple tasks under fixed time constraints and deadlines. A commitment to continuous learning and staying abreast of new developments and best practices. Willingness to work collaboratively with other departments.
Salary:
This position is full-time, onsite, and year-round with a salary of $85,000 to $90,000, depending on skills and experience.
