Operations & Bookkeeping Manager The Smith Company, Inc Loomis, CA Job Details Full-time $90,000 - $110,000 a year 1 day ago Qualifications Executive administrative support Schedule management QuickBooks Organizational skills Office management Full Job Description About the role The Smith Company is a small, owner-operated business specializing in doors and hardware, based in Loomis, CA. We're a lean team — the owner, an estimator, and you. We're looking for a sharp, self-directed office professional who can own the business side of the operation from top to bottom: project management, billing, payroll, and bookkeeping. This is a high-ownership role. You'll work directly alongside the owner and will have real visibility into every aspect of the business. If you're the kind of person who gets things done without being told twice and uses every tool available — including AI — to do it better and faster, we want to hear from you. What you'll own Project management: tracking jobs from estimate to completion, coordinating schedules, managing timelines, and keeping the team informed Billing and invoicing: preparing and sending customer invoices, following up on outstanding balances, and reconciling payments in QuickBooks Payroll processing: running weekly or bi-weekly payroll accurately and on time
Bookkeeping:
managing accounts payable/receivable, reconciling accounts, and maintaining clean books in QuickBooks Office administration: fielding calls and emails, organizing files, coordinating with vendors and suppliers, and supporting the owner with day-to-day needs
Reporting:
producing simple financial and job-status reports for the owner on a regular cadence What we're looking for AI-forward candidate preferred 2+ years of experience in bookkeeping, office management, or a similar administrative/operations role Proficiency in QuickBooks (Online or Desktop) — this is our primary tool for all financial tracking and billing Demonstrated ability to use AI tools (ChatGPT, Claude, Copilot, etc.) to accelerate daily work — drafting communications, summarizing documents, building templates, or automating repetitive tasks Strong organizational skills and the ability to juggle multiple priorities without losing detail Clear, professional written and verbal communication Comfortable working independently in a small-team environment with minimal hand-holding Experience in construction, trades, or a project-based industry is a plus but not required The team You'll work directly with the owner and an estimator. There's no bloated org chart, no layers of management, and no bureaucracy. The right person will have real input into how this office runs and the latitude to improve it.
Pay:
$90,000.00 - $110,000.00 per year
