Job Description
Morgan, Lewis & Bockius LLP, one of the world's leading global law firms with offices in strategic hubs of commerce, law, and government across North America, Asia, Europe, and the Middle East, is seeking to hire a Senior Manager, Facilities and Office Services. The Senior Manager, Facilities and Office Services will oversee and provide guidance for the facilities and support services of assigned office(s). Reporting to the Office Manager for assigned office(s), provide oversight and direction in areas to include but not limited to: space planning; security; furniture; maintenance; renovation and construction projects, office moves; conference and meeting rooms; oversee services contracts; managing capital equipment; providing direction to the delivery and operation of services departments as assigned (conference rooms, copying, mailroom, supplies, office services). In addition, the Senior Manager, Facilities and Office Services will be responsible for ensuring consistency of facilities processes and best practices for their assigned office(s). Maintaining an in-office presence is essential to delivering exceptional service through an integrated and collaborative work culture. In alignment with firm policy, this role is required to work full-time in the office. The position will reside across our Los Angeles and Century City offices and is expected to work in both locations.
Key responsibilities include:
Manages space planning and office assignments in coordination with the Office Manager, as well as departmental and practice group management. Supervises all office moves. Participates in construction projects under the direction of the directors of capital projects and administration. Prepares space for all incoming lateral partners and other attorneys and summer associates (i.e. furniture, computers, phones, pictures, books and other belongings). Serves as one of the first points of contact for new partners, convey messages of a caring welcome as they transition to Morgan Lewis. Collaborates with Office Manager and local office management with Procurement Services Department to negotiate, approve and monitor compliance with Firm and office vendor contracts. Works with Knowledge Solutions team to ensure Morgan Net content is kept current for office. Collaborate with the Office Manager and local office management on consistency of office design and appearance. Coordinates with office services staff to ensure timely fulfillment of requests related to furniture, file replacement, repairs, key/lock issues, office space issues, and work room and file room needs. Coordinates with building management and outside vendors to arrange maintenance and operational services, including elevator, HVAC, electrical and power, janitorial, plumbing, filter replacement locks and keys, pantry equipment, noise-related issues, parking, waste removal, event guest lists, insurance certificates for after-hours work, painting, carpet repair and cleaning. Supervises all repairs, rentals, and replacements to ensure building and maintenance services are provided in a timely fashion: heating and cooling, carpeting, electrical, plumbing, painting, furniture and fixtures. Oversee building and office security systems, including access cards, keypads, and door locks, and manages maintenance, operations and requests for security-related reports. Plans and prepares for office disasters and emergencies. Coordinates Emergency Response Teams, First Aid/CPR/AED training and maintains equipment. Liaise with building management to develop and maintain emergency preparedness procedures for all personnel. Provide guidance for and communicates the business continuity plan, Fire, and Life/ Safety program. Oversee purchase of supplies and the maintenance of the central and satellite supply rooms. Works closely with the outsourced vendor onsite manager to ensure timely and accurate delivery of mailroom and copy services. Oversees housekeeping and catering services to ensure conference rooms and pantries are clean and well-maintained, and appropriately stocked, and that food and beverages needs for meetings are met as required. Establishes/adheres to Department budget; seeks opportunities to improve Department efficiency and reduce expenses by streamlining operations. Monitor inventory tracking of artwork and furniture in Facilities Management systems for disaster recovery. Manage the Diners Club corporate card, including handling catering and related expenses and ensuring all charges are accurately processed and coded. Manage Employee parking and setting up WageWorks commuter accounts. Work with Knowledge Solutions team to ensure MorganNet content is kept current for office. Assists with the preparation of annual budget for operating and capital expenses. Establishes/adheres to Department budget; seeks opportunities to improve Department efficiency and reduce expenses by streamlining operations. Reviews and submits invoices for payment. Maintains inventory of furniture and obtains proposals for new furniture, equipment and replacement items. Liaise with Local IT on all issues related to IT services related building infrastructure. Ensures FM Systems are updated with changes to personnel and assets. Additional responsibilities may be assigned as needed.Experience and qualifications:
Associate's degree or equivalent from a two-year college or technical school preferred. Minimum of seven (7) years of relevant experience required, including at least two (2) years in a supervisory or leadership role, or an equivalent combination of education and experience. Ability to carry out detailed but straightforward written and oral instructions and address problems in routine situations. Demonstrated problem-solving skills. Adapt to change and effectively balance competing demands. Proficiency in Microsoft Office applications, including Word, PowerPoint, and Excel. Experience with iManage, OneNote, and Adobe Photoshop preferred. Experience with operating system applications, including floor plan management and security systems. The final salary or hourly wages offered may be outside of this range based on other reasons and individual circumstances. Additionally, salary or hourly wages may be only part of the total compensation package. The total compensation package for this position may also include a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered.
