Job Description

We are a fast-paced dermatology practice looking for a reliable and detail-oriented Back Office Manager to join our team. This is a great opportunity for someone who enjoys being the organizational backbone of a practice—balancing patient support, billing oversight, financial administration, and day-to-day operations to help the clinic thrive. What You'll Do Manage the day-to-day administrative and operational functions of the practice. Oversee patient billing, payment collection, and account reconciliation processes. Process patient payments and ensure accurate posting of charges, payments, refunds, and adjustments. Monitor accounts receivable and follow up on outstanding patient balances. Generate and review financial, billing, and operational reports for leadership. Maintain accurate records and ensure compliance with practice policies and procedures. Coordinate office workflows to improve efficiency and enhance the patient experience. Support scheduling, patient communications, and front desk operations as needed. Assist with vendor management, supply ordering, and facility coordination. Partner closely with physicians and leadership to identify operational improvements and implement new processes. Train and support team members on administrative workflows, billing procedures, and practice systems. Serve as a key point of contact for patient questions related to billing, payments, and membership services. What You Bring 3+ years of experience in a medical office, healthcare administration, billing, revenue cycle, or practice management role. Strong understanding of medical billing, patient collections, payment posting, and account reconciliation. Experience working with electronic medical record (EMR) and practice management systems; experience with Tebra is a plus. Exceptional organizational skills and attention to detail. Strong financial aptitude and comfort working with reports, spreadsheets, and practice performance metrics. Excellent communication and customer service skills. Ability to manage multiple priorities and adapt in a fast-paced environment. A proactive, solutions-oriented mindset with strong problem-solving abilities. Professionalism, discretion, and the ability to handle confidential information appropriately. Comfort working independently while collaborating effectively with physicians and team members. A commitment to delivering an outstanding patient experience.
