This person should take pride in creating a welcoming, organized, and high-functioning office environment. The ideal candidate is a career office manager or receptionist who enjoys being the central hub of the office, anticipates needs before they arise, communicates with confidence and warmth, and brings maturity, discretion, and excellent judgment to every interaction. Key Responsibilities
- Reception and client experience: Greet clients, guests, and service providers with warmth, professionalism, and discretion.
- Phone and email coverage: Answer and route incoming calls, manage general inquiries, and ensure timely follow-up.
- Office management: Maintain a polished, organized, and well-stocked office environment.
- Founder and team support: Provide administrative and logistical support to the Founder and Director of Client Origination and Solutions.
- Meeting coordination: Prepare conference rooms, coordinate refreshments, manage calendars when needed, and ensure meetings run smoothly.
- Vendor management: Serve as point of contact for building management, office suppliers, technology providers, maintenance vendors, and other service partners.
- Technology and systems: Use Microsoft Office, Salesforce, and other business systems to support administrative workflows and client-related processes.
- Travel and event support: Assist with occasional travel coordination, internal meetings, client visits, and firm events.
- Team collaboration: Work closely with colleagues across functions to support a responsive, service-oriented culture.

Handle sensitive client, employee, and firm information with the highest level of discretion. Ideal Candidate- Has prior experience as an office manager, receptionist, executive assistant, client service associate, or similar administrative role.
- Presents themselves in a polished, professional, and approachable manner.
- Is well-spoken, thoughtful, and confident interacting with sophisticated clients and senior professionals.
- Enjoys being in an in-office, client-facing role and takes pride in creating a first-class workplace experience.
- Is highly organized, detail-oriented, proactive, and dependable.
- Has strong judgment and understands the importance of discretion in a private wealth or professional services environment.
- Is collaborative, flexible, and willing to help wherever needed.
- Has strong references and a demonstrated track record of reliability and professionalism.
- Is comfortable using Microsoft Office, Salesforce, Outlook, Teams, and other common office systems. Qualifications
- 5+ years of relevant office management, reception, administrative, or client-facing professional experience preferred.
- Experience in wealth management, family office, financial services, law, accounting, consulting, or another high-touch professional services environment is strongly preferred.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office, Outlook, and CRM systems such as Salesforce.
- Ability to manage multiple priorities while maintaining composure and professionalism.
