Job Description

Overview We are seeking a dynamic and detail-oriented Construction Office Administrator with Blue beam experience specifically in glass industry to join our team. In this vital role, you will serve as the backbone of our construction office operations, ensuring seamless communication, efficient project documentation, and effective administrative support. Your energetic approach and organizational expertise will help drive project success and foster a collaborative work environment. This position offers an exciting opportunity to contribute to large-scale construction projects while honing your administrative and team management skills. Responsibilities Manage daily office operations, including filing, data entry, and maintaining organized project documentation using Blue beam software. Coordinate schedules for project meetings, site visits, and team activities to ensure timely execution of tasks. Oversee vendor relationships, including scheduling deliveries, managing purchase orders, and tracking invoices with Quick Books or similar accounting tools. Support human resources functions such as on boarding new team members, maintaining employee records, and assisting with payroll processing. Handle front desk duties including greeting visitors, managing multi-line phone systems, and providing excellent phone etiquette to clients and contractors. Assist with budgeting and bookkeeping activities related to project expenses, ensuring accuracy and adherence to financial guidelines. Facilitate communication across teams by preparing reports, distributing memos, and managing calendar appointments for project managers. Qualifications Proven experience in office administration within a construction or related environment; familiarity with Blue beam is required. Strong organizational skills with the ability to multitask efficiently in a fast-paced setting. Experience with event planning, scheduling management, vendor management, and office management best practices. Proficiency in Quick Books or similar financial software; basic bookkeeping knowledge is preferred. Excellent communication skills coupled with professional phone etiquette and customer service orientation. Supervising experience or team management skills are highly desirable. Knowledge of human resources processes including on boarding, payroll support, and employee record keeping.
