At The Movement Clinic Physical Therapy and Performance , we help people move better, feel stronger, and get back to doing what they love through individualized Physical Therapy and performance-based care. Behind every great patient interaction is someone keeping the clinic organized, efficient, welcoming, and running smoothly. Now we're looking for an Office Manager who can bring structure, leadership, organization, and positive energy to the front of our clinic. This is more than a front desk role. You'll be the steady hand behind the scenes helping patients feel supported, clinicians stay focused, and daily operations run with consistency and purpose. As the clinic continues to expand, we're looking for someone who can help create systems, improve organization, support communication, and keep the patient experience exceptional from start to finish. You'll be one of the first people patients interact with and a major part of the energy, professionalism, and flow of the clinic every single day. What You'll Actually Do Turn Chaos Into Calm Create a warm and welcoming patient experience through check-in, check-out, calls, emails, and follow-up communication Manage scheduling and clinic flow so the day runs smoothly for both patients and providers Keep communication organized and ensure clinicians stay informed throughout the day Respond to calls, messages, and patient questions professionally and promptly Keep Operations Running Smoothly Maintain accurate records in EMR and CRM systems Support daily clinic operations including workflows, reporting, and administrative coordination Assist with inventory management, supplies, and vendor communication Help identify operational problems early and contribute solutions that improve efficiency Be the Backbone of the Clinic Support both Pasadena, CA and Starbase, TX operations through organized systems and communication Assist with marketing support including content organization, social media coordination, photography, videography, or clinic promotions as needed Help create a calm, organized, patient-first environment where both staff and patients feel supported Take ownership of projects and help keep the clinic moving forward as the company grows You'll Thrive in
This Role If You:
Have 1-2 years of administrative, office management, or front desk experience preferred Communicate clearly and professionally with patients, staff, and vendors Stay organized, proactive, and calm under pressure Enjoy solving problems and managing multiple moving pieces throughout the day Are comfortable working independently and taking ownership of responsibilities Have experience with EMR systems, CRM software, Slack, and Notion preferred Have healthcare experience (a plus, but not required)
