Job Description

Position Summary The Palos Verdes Art Center is looking for an Office Manager to play a key role in ensuring the smooth day-to-day operations of the organization. This position supports administrative functions, coordinates office systems, and assists executive leadership, staff, and volunteers to help advance the nonprofit's mission. The Office Manager is essential to maintaining an organized and effective workplace, enabling staff and leadership to focus on program delivery, fundraising, and community impact. Key Responsibilities Office Operations & Administration Oversee daily office operations to ensure efficiency and organization Maintain office systems, supplies, and equipment Manage calendars, schedule meetings, and coordinate logistics Develop and implement administrative procedures and policies Manage relationships with office vendors (IT, utilities) Scheduling maintenance visits Financial & Recordkeeping Support Assist with basic bookkeeping, invoicing, and expense tracking Support budget tracking and financial reporting in coordination with accountant Human Resources & Volunteer Coordination Support onboarding and offboarding of staff and volunteers Prepare personnel files and ensure compliance with policies Assist with volunteer scheduling and communication Support internal communications and coordination across departments Board & Program Support Provide administrative support to executive leadership and board members Prepare meeting materials, agendas, and minutes Assist with events, programs, and special projects Qualifications Bachelor's degree or equivalent experience preferred 3-5 years of office or administrative experience (nonprofit experience a plus) Strong organizational and multitasking skills Excellent written and verbal communication abilities Proficiency in Microsoft Office, Google Workspace, and database systems Ability to handle confidential information with discretion Detail-oriented, proactive, and mission-driven Work Environment & Compensation Full-time; occasional evening or weekend events may be required Salary range: $72,000 d-$78,000 depending on experience
