$20.00 per hour Position Purpose The Office Administrator serves as a vital member of the ministry team, ensuring the smooth and effective operation of the church office. As the central hub of communication and administration, the office supports the church's mission to Love God, Connect People, and Serve Our Community . This position provides administrative and ministry support while fostering a welcoming, organized, and Christ-centered environment for church members, guests, volunteers, and staff. The Office Administrator is responsible for the daily management of office operations, maintaining accurate records, coordinating communications, supporting ministry activities, and assisting church leadership in fulfilling the mission of the church. Financial and Bookkeeping Responsibilities Scan invoices and check requests and submit them to UniFi on a weekly basis. Scan and submit weekly deposit reports to UniFi. Print checks and coordinate required signatures. Distribute checks as needed. Collect, process, and maintain hourly staff timecards. Process payroll through PayChex twice monthly. Coordinate annual budget communication with UniFi (February). Print and prepare monthly financial reports for Board meetings. Communicate regularly and promptly with the Church Treasurer. Maintain accurate records of monetary and non-monetary donations. Prepare and distribute annual giving statements. Complete annual fiscal year-end reporting requirements. Process annual 1099 vendor forms. Complete annual property tax e-filing requirements. Perform other financial and bookkeeping duties as assigned. Administrative Responsibilities Serve as the primary point of contact for the church office, greeting visitors with warmth, hospitality, and discretion. Assist the Lead Pastor by coordinating appointments, visits, and office communications. Coordinate facility usage, scheduling, and maintenance appointments. Work with maintenance and custodial personnel to ensure church facilities are clean, safe, and welcoming. Maintain records for keys, security systems, and alarm codes. Coordinate with website personnel to ensure church information remains current and accurate. Report monthly worship attendance as required. Prepare and distribute weekly church communications with pastoral approval. Maintain the church database, including membership and contact information. Manage and maintain the church master calendar. Prepare bulk mailings and special communications as needed. Provide administrative and clerical support to church ministries and ministry leaders. Order office supplies, ministry curriculum, and other necessary resources. Coordinate repairs and maintenance of office equipment. Assist with the preparation of annual church reports and denominational reporting requirements. Prepare additional reports as requested. Ministry Support Responsibilities Assist in the planning and coordination of church events and special ministry activities. Communicate prayer requests through established church communication channels as appropriate. Prepare Board meeting materials, maintain meeting records, and update official documentation. Notify pastoral staff of significant congregational care needs, including hospitalizations, births, deaths, weddings, and other life events. Support ministries and volunteers in ways that strengthen the church's mission of loving God, connecting people with God and one another, and serving others. Perform other ministry support duties as assigned. Qualifications and Skills Proficiency in Microsoft Office applications and the ability to learn church management and accounting software. Strong organizational skills with exceptional attention to detail. Ability to manage multiple responsibilities while meeting deadlines. Excellent written and verbal communication skills. Strong interpersonal skills and the ability to work collaboratively with staff, volunteers, and church members. Demonstrated commitment to confidentiality and the ethical handling of sensitive information. Dependable attendance and strong time-management skills. A teachable spirit and willingness to learn. Alignment with the mission, values, and ministry philosophy of the church. Demonstrates support for the doctrines, mission, values, and ministry of the Church of the Nazarene and conducts themselves in a manner consistent with the church's Christian witness.
