We're looking for an enthusiastic Office Administrator to join our team and play a key role in keeping our daily operations running smoothly. As the first point of contact for clients, visitors, and team members, you'll help create a welcoming and professional atmosphere while supporting a variety of administrative, scheduling, and organizational functions. What You'll DoFront Office & Customer Service Welcome visitors and clients with professionalism and a friendly attitude. Serve as the primary point of contact for incoming calls and inquiries. Manage multi-line phone systems while maintaining exceptional phone etiquette. Provide outstanding customer support via phone, email, and in-person interactions. Administrative Support Coordinate calendars, schedule appointments, and organize meetings. Prepare, proofread, and maintain business documents and records. Perform data entry with accuracy and attention to detail. Handle correspondence, filing, scanning, copying, and mailing activities. Office Operations Monitor office supply inventory and coordinate purchasing as needed. Maintain a clean, organized, and efficient office environment. Assist with special projects and support daily operational needs. Financial & Business Support Assist with basic bookkeeping functions, including accounts receivable and accounts payable support. Maintain accurate financial and administrative records. Support office workflows using QuickBooks, Jobber, and other business management software. What We're Looking ForQualifications & Skills ✔ Previous office administration, receptionist, or administrative support experience. ✔ Strong organizational and multitasking abilities with excellent attention to detail. ✔ Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace. ✔ Experience with QuickBooks or similar bookkeeping software is preferred. ✔ Experience with Jobber or comparable CRM/business management software is preferred. ✔ Familiarity with multi-line phone systems and front desk operations. ✔ Excellent written and verbal communication skills with strong customer service abilities. ✔ Proven ability to prioritize tasks and meet deadlines in a busy office environment. ✔ High level of professionalism, reliability, and confidentiality.   • Bilingual communication skills are highly valued and appreciated.
