Prior optical experience working in the field of optometry for 3 years or more. The ideal candidate will oversee daily office operations, coordinate administrative functions, and ensure a smooth patient experience. This role requires strong leadership skills, excellent communication, schedule availability, someone who takes initiative, and comprehensive office management experience to support the clinical team and maintain efficient workflow. Prior experience in optical/ophthalmology office management, bookkeeping, and vendor relations is highly desirable. The Office Manager will be instrumental in fostering a professional environment that emphasizes exceptional patient care and operational excellence. Responsibilities Manage daily office operations, including front desk duties, appointment scheduling, and patient check-in/out processes Oversee calendar management for providers and staff to optimize scheduling efficiency Supervise administrative staff, including training & development, performance evaluations, 1:1 check-ins, and team management Handle human resources functions such as staffing, payroll processing, and employee records management Maintain accurate bookkeeping and financial records using QuickBooks or similar accounting software Manage vendor relationships, procure supplies, and oversee billing and invoicing procedures Coordinate event planning for staff meetings, community outreach programs, or promotional events Ensure compliance with healthcare regulations and maintain confidentiality of patient information Oversee filing systems, record keeping, and document management to ensure accessibility and organization Implement office policies to improve workflow efficiency and enhance customer service standards Handle multi-line phone systems with professional phone etiquette to assist patients and vendors effectively Create and implement systems to increase efficiency and experience. Skills Proven experience in office management within an opthalmology or optometry setting Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Excellent communication skills for interacting with staff, vendors, patients, and healthcare providers Proficiency in calendar management tools, and basic bookkeeping software Experience with vendor management, budgeting, payroll processing, and human resources functions Skilled in event planning, training & development initiatives, and team supervision Familiarity with optometry office procedures including front desk operations and filing systems Oversee insurance workflows, EOB posting, AR follow-up, and billing processes Track and report key KPIs Ability to manage multi-line phone systems with professionalism and courtesy Strong leadership qualities with the ability to supervise staff effectively and foster a collaborative team environment Ability to trouble shoot and be patient-centric Growth mindset, driven, and an A-Player Optical Knowledge Enjoys building systems, accountability, and consistency Can protect the doctor's time by owning operations Natural leader, not just a task-doer Job in and takes initiative.
