We're looking for an Office Manager/Billing Specialist to serve as the operational backbone of our firm — someone who brings both administrative excellence and financial acumen to the role while contributing positively to our team culture. This is a multifaceted, full-time position at the heart of our firm's day-to-day operations. You'll work closely with firm partners on initiatives that directly support the company's growth while owning the administrative and billing functions that keep everything moving efficiently. What You'll Do Office Administration Oversee all aspects of office operations, ensuring equipment, technology, and supplies are always functioning efficiently Serve as the primary liaison with our IT team and third-party contractors, troubleshooting issues and escalating when appropriate Manage vendor and partner relationships, including external business partnerships and referrals Handle incoming mail, scan and disseminate correspondence to the appropriate team members, and maintain organized office procedures Lead onboarding for new employees and conduct periodic all-staff procedural updates Answer phones and provide a warm, professional, and welcoming experience for clients and visitors Help foster a positive, collaborative, and team-oriented office culture Billing & Financial Support Own the firm's billing cycle, including processing invoices and payments on a semi-monthly basis Support accounting functions and assist with payroll processing Maintain a high level of accuracy, confidentiality, and accountability across all financial administrative tasks Partner Support Assist firm partners with special projects and operational initiatives Proactively identify opportunities to improve office efficiency, organization, and internal operations Act as a reliable point of support across the firm and help ensure smooth day-to-day operations What We're Looking For Bachelor's degree or equivalent professional experience Prior experience in billing, accounting, office management, or financial administration strongly preferred Proficiency with Mac computers and the Microsoft Office Suite Exceptional attention to detail, strong organizational skills, and follow-through Strong communication and interpersonal skills with a customer-service mindset A proactive problem-solver who can manage multiple priorities effectively A team player who values collaboration, accountability, and supporting others Someone who is eager to learn, grow professionally, and build a long-term career with the firm Alignment with our firm's core values: communication, collaboration, client focus, and continuous learning Why Join Us?
