A compassionate, efficient, and detailed-orientated Office Manager who thrives in a collaborative treatment environment and is passionate about supporting both patients and staff. The ideal candidate will demonstrate strong organizational and time management skills, the ability to effectively manage day-to-day office operations and administrative responsibilities, and a commitment to professionalism, accuracy, and clear communication. The successful candidate will demonstrate adaptability, professionalism, organizational and time management skills, while being able to prioritize and manage multiple responsibilities in a fast-paced healthcare environment. Responsibilities:
Coordinate the daily administrative and operational functions of the outpatient treatment center
Maintain a professional, organized, and welcoming office environment for patients, visitors, and staff
Coordinate front office operations, including patient intake processes, scheduling, phone coverage, and general office workflow
Support communication between patients and staff
Ensure accuracy and confidentiality of patient records, documentation, and administrative files in compliance with HIPPA, The Joint Commission, and Company policies
Assist with monitoring compliance related requirements
Manage office supplies, equipment, vendor communication, and facility related administrative needs
Support leadership with reporting, data tracking, invoice processing, and other administrative projects as assigned
Assist in maintaining schedules for providers, therapists, group sessions, and treatment-related services
Provide administrative support during audits, surveys, and Joint Commission accreditation activities
Help maintain a collaborative, patient-centered environment focused on professionalism, compassion, and quality of care
Address patient and family concerns professionally and escalade issues appropriately when needed
Ensure timely and professional communication with internal shareholders, referral sources, and community partners
Demonstrate flexibility, accountability, and commitment
Adhere to company policies and procedures Minimum Qualifications Associate's degree 5+ years: Experience managing daily office operations within healthcare, behavioral health, addiction treatment, or mental health setting
Experience coordinating administrative functions, scheduling, patient intake, and front office operations in a fast-paced environment
Experience with electronic health records, scheduling platforms, and Microsoft Office applications
Experience with insurance verification, authorizations, patient communication, and general healthcare administrative processes
Experience handling multiple priorities while maintaining professionalism, organization, accuracy, and strong attention to details Preferred Qualifications Bachelor's degree in healthcare administration, business administration, psychology, sociology, or related a related behavioral health field 10+ years: Experience managing daily office operations within healthcare, behavioral health, addiction treatment, or mental health setting
Experience coordinating administrative functions, scheduling, patient intake, and front office operations in a fast-paced environment
Experience with electronic health records, scheduling platforms, and Microsoft Office applications
Experience with insurance verification, authorizations, patient communication, and general healthcare administrative processes
