Job Summary:
Embers Protection Services Inc. is seeking a highly organized and detail-oriented Office Project Manager to oversee and coordinate day-to-day administrative operations and project activities. This role is responsible for ensuring projects are executed efficiently, on schedule, and within budget while supporting field teams, clients, and internal staff. The ideal candidate has strong communication skills, construction or fire protection industry experience, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Coordinate and manage multiple projects from initiation through completion Serve as the primary point of contact between office staff, field crews, clients, and vendors Prepare project schedules, track progress, and ensure deadlines are met Maintain accurate project documentation, including contracts, permits, submittals, and change orders Assist with estimating, budgeting, and cost tracking for ongoing projects Support compliance with local, state, and federal regulations Process invoices, purchase orders, and material tracking Organize and maintain filing systems for all project-related documents Assist with job postings, hiring coordination, and onboarding support as needed Identify process improvements to increase efficiency and productivity
Qualifications:
Proven experience as a Project Manager, Office Manager, or similar role (construction or fire protection industry preferred) Strong knowledge of project management principles and administrative processes Excellent organizational and time management skills Ability to multitask and prioritize in a deadline-driven environment Proficiency in Microsoft Office (Excel, Word, Outlook) and project management software Strong communication and problem-solving skills High attention to detail and accuracy
Preferred Qualifications:
Experience with construction management or fire protection systems (sprinkler, alarm, or piping systems) Familiarity with permitting processes and compliance requirements Experience with QuickBooks or similar accounting software
