This role serves as the central point of coordination for office functions, accounts receivable activities, employee support, vendor management, and general business administration. The ideal candidate is a self-starter who thrives in a fast-paced environment, possesses strong organizational and communication skills, and can effectively balance administrative, financial, and operational responsibilities while supporting the overall success of the organization. Key Responsibilities Office Administration & Operations Manage day-to-day office operations to ensure efficiency and productivity. Develop and maintain administrative procedures, workflows, and office systems. Coordinate office supplies, equipment, maintenance, and facility needs. Serve as the primary point of contact for vendors, service providers, and external partners. Organize meetings, company events, and internal communications. Accounts Receivable & Financial Support Generate and distribute customer invoices accurately and timely. Process incoming payments and maintain accurate payment records. Monitor customer accounts and follow up on outstanding balances. Reconcile accounts receivable transactions and resolve billing discrepancies. Assist with monthly reporting, expense tracking, and budget monitoring. Support accounting and finance functions as needed. Employee & Administrative Support Assist with employee onboarding and administrative documentation. Maintain employee records and company files. Coordinate office communications and support various departments. Ensure company records, contracts, and compliance documentation remain organized and up to date. Customer & Vendor Relations Provide professional customer service to clients, vendors, and business partners. Handle inquiries and direct communications to appropriate personnel. Maintain positive working relationships with customers and vendors. Compliance & Process Management Maintain confidentiality of company and employee information. Ensure compliance with company policies and administrative procedures. Identify opportunities to improve office efficiency and operational effectiveness. Required Qualifications 3+ years of experience in office management, administrative management, bookkeeping, or a related role. Experience managing accounts receivable, invoicing, collections, and account reconciliation. Strong proficiency with Microsoft Office Suite (Excel, Word, Outlook). Excellent organizational, multitasking, and time management skills. Strong written and verbal communication abilities. Ability to work independently and manage multiple priorities. High level of professionalism, accuracy, and attention to detail. Preferred Qualifications Associate's or Bachelor's degree in Business Administration, Accounting, Finance, or a related field. Experience with accounting software such as QuickBooks, Sage, NetSuite, or similar ERP systems. Experience supporting HR, payroll, or employee onboarding functions.
