Job Description

Job Summary We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This role is essential in ensuring smooth administrative workflows, exceptional customer service, and efficient office management. The ideal candidate will be proactive, detail-oriented, and possess strong multitasking abilities to support our team and maintain a productive workplace. Bilingual skills are a plus, as you will be engaging with diverse clients and team members. Duties Oversee daily office operations, including managing front desk activities and multi-line phone systems to ensure prompt and professional communication. Greet visitors, clients, and vendors with excellent phone etiquette and customer service skills, creating a welcoming environment. Maintain accurate records through data entry, filing, proofreading, and managing correspondence using Microsoft Office, Google Workspace, and other computer tools. Coordinate calendar management, schedule appointments, meetings, and personal assistance tasks for executives or team members. Handle bookkeeping responsibilities using QuickBooks or similar software to manage invoices, expenses, and financial records. Support office management functions such as supply inventory control, filing systems, and organization of office spaces to optimize efficiency. Assist with clerical tasks including typing documents, proofreading reports, and supporting customer support efforts to ensure high-quality service delivery. Manage medical or dental receptionist duties when required, including patient scheduling and maintaining confidentiality of sensitive information. Provide support with time management initiatives to ensure deadlines are met and office workflows remain seamless. Experience Proven experience in office management or administrative roles with a strong background in clerical support and customer service. Familiarity with multi-line phone systems, front desk operations, and professional phone etiquette. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Calendar), and basic computer literacy skills. Previous experience with QuickBooks or bookkeeping software is highly desirable. Bilingual abilities are preferred to effectively communicate with diverse populations. Demonstrated organizational skills with the ability to manage multiple priorities efficiently while maintaining attention to detail. Experience in medical or dental receptionist roles or personal assistant positions is a plus but not required.
