This vital role ensures the smooth operation of daily office activities, providing exceptional administrative support, managing front desk responsibilities, and fostering a welcoming environment for staff and visitors alike. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to juggle multiple tasks efficiently. This paid position offers an exciting opportunity to contribute to a professional, fast-paced environment while developing valuable skills in office management and customer service. Duties Serve as the first point of contact at the front desk, greeting visitors and managing multi-line phone systems with professionalism and courtesy Handle incoming calls, route inquiries appropriately, and maintain excellent phone etiquette Manage calendar appointments, schedule meetings, and coordinate events using Google Workspace and Microsoft Office tools Perform data entry, filing, and document proofreading to ensure accuracy and organization of all office records Oversee office supplies inventory, place orders as needed, and maintain a clean and organized workspace Assist with bookkeeping tasks using QuickBooks for invoicing, expense tracking, and basic financial record-keeping Provide administrative support including typing correspondence, preparing reports, and supporting customer service efforts to ensure client satisfaction Support personal assistant duties such as calendar management and travel arrangements when required Maintain confidentiality of sensitive information while delivering exceptional customer support in person or via phone or email Experience Prior experience in office management or administrative roles is essential; familiarity with clerical tasks such as filing, data entry, proofreading, and document organization is highly valued Experience in the Construction Industry is also welcomed Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive) Experience handling multi-line phone systems and providing excellent phone etiquette in a professional setting Bilingual abilities are a strong plus to effectively communicate with diverse clients and team members Knowledge of QuickBooks for bookkeeping or basic accounting functions is preferred Strong organizational skills with the ability to prioritize tasks efficiently while managing time effectively Proven computer literacy with the ability to adapt quickly to new software or office technology tools Join us in creating an energetic workplace where your organizational talents shine!
