Job Description

POSITION DESCRIPTION ICON
is seeking a
PART TIME
engaging, team-oriented individual to take on general office administration tasks for our Centennial office location. This person will report to the VP of Operations, ensuring smooth daily business operations by managing administrative tasks, acting as a central point of contact, and supporting staff. This position is in-office only, working
PART-TIME, UP TO 20 HOURS A WEEK
(Monday through Thursday, within the hours of 9am to 3pm).
ESSENTIAL RESPONSIBILITIES
Office Administration & Operations Oversee day-to-day office operations to ensure a smooth, efficient, and clean work environment. Manage office supplies, inventory, and equipment; coordinate orders and vendor relationships. Maintain organization of common areas, meeting rooms, and office storage. Manage office food orders, food layout and storage, snack program, and dishes. Coordinate repairs, maintenance, and service for office equipment and facilities. Serve as the primary point of contact for visitors, deliveries, and office vendors. Administrative Support Provide administrative support to leadership, project managers, and staff. Provide meeting minutes for various company and project meetings. Complete printing and binding requests from project managers. Handle incoming calls, packages, postal services, and related correspondence. Assist with onboarding tasks for new employees (welcome, setup, office orientation). Help maintain vendor records, W-9s, and basic administrative documentation. Maintain updated employee contact lists, emergency procedures, and office policies. Assist with training, meetings, and compliance documentation. Help coordinate staff events, team-building activities, and internal communications. Assist with mass external communications and mailings. General Support Be available for special projects or tasks as assigned. Support leadership with miscellaneous office needs to keep operations running smoothly. Maintain a positive, professional, and service-oriented presence in the office.
REQUIRED QUALIFICATIONS
Previous experience working within an office environment. Calendar and schedule management skills. Excellent written and verbal communication skills. Computer literacy and proficiency in office software (Office 365: Outlook, Word, Excel, Teams) Strong organizational and decision-making skills, staying on task, and a keen eye for detail. Familiarity with customer service principles, exercise good judgement to reflect the company's values. Willingness to ask questions, seek instruction, and work independently.
ADDITIONAL INFORMATION
Hourly range for this
PART TIME
position is $22-29 an hour, dependent upon experience. All inquiries will be handled confidentially.
Pay:
$22.00 - $29.00 per hour
