Job Description

Boutique multi-family office in Cherry Creek North seeking Office Manager. This individual is an integral part of our team and will work side-by-side with the firm's managers and employees, contractors, vendors, guests, and clients. The candidate must be a highly adaptable team player, with the ability to jump from one task while ensuring projects are completed efficiently. Due to the nature of the job duties, the job requires physical presence in the office, though the hours are flexible. Salary is competitive and commensurate with experience. 401(k) Plan with employer match is provided to all employees.
Hours:
Part-time hours: to be discussed (between 20 to 30 hours per week)
Responsibilities:
  • Oversee all office operations; ensure all equipment is working properly and all supplies are available
  • Greet all guests and visitors
  • Ensure reception area, supply room, conference rooms, kitchen, and restroom are clean, presentable, and well-organized
  • Oversee schedule for conference rooms; coordinate client meetings; assist in meeting preparation and follow-up
  • Reconcile bank and credit card accounts
  • Process Accounts Payable for clients and firm
  • Download and save client banking, investment, and partnership statements
  • Coordinate all office repairs and maintenance
  • Serve as primary contact for all company vendors
  • Oversee incoming and outgoing mail and deliveries
  • Act as primary liaison with all subtenants; collect all lease payments and manage subtenant requests
  • Serve clients in a variety of customer service roles, while always maintaining discretion and confidentiality
  • Communicate with third parties including vendors, subtenants, brokerage and investment firms, banks, CPA firms, law firms, and insurance agencies
  • Assist with private foundation operation and governance, including maintenance of minute books
  • Assist Member and Manager of firm with special projects
Requirements:
  • At least two years' experience in an administrative role, preferably in the financial services industry
  • Basic understanding of different bank, brokerage, and retirement accounts, as well as personal finance
  • Familiarity with accounts payable processing and basic accounting software
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Excellent verbal and written skills, with ability to communicate succinctly and clearly with high-net-worth clients, their advisors, and internal team members
  • Detail-oriented, organized, and diligent with follow-up
  • Ability to manage multiple projects simultaneously
  • Excellent problem-solving skills
  • Ability to maintain confidentiality and handle sensitive information with highest degree of integrity
Pay:
$30.00 - $35.00 per hour Expected hours: 20.0 - 30.0 per week
