This vital role combines front desk management, administrative support, client intake, legal billing, and office coordination to ensure the smooth day to day operation of our office. Responsibilities Greet clients, visitors, and guests in a warm and professional manner, ensuring a positive first impression Manage a multi line phone system with excellent phone etiquette, accurately directing calls and taking messages Conduct client intake, including gathering information from prospective clients and maintaining accurate records Schedule appointments, consultations, and meetings while maintaining attorney and office calendars Prepare, proofread, and format correspondence, legal documents, and reports for accuracy and professionalism Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document preparation, email correspondence, and calendar management Process and manage monthly legal billing (Clio Software), including invoice preparation, client account updates, and coordination with attorneys regarding billing matters Assist with bookkeeping and administrative accounting tasks using QuickBooks or similar software Support office management functions, including ordering supplies, distributing mail, and maintaining an organized office environment Assist attorneys and staff with clerical and administrative tasks, including copying, scanning, filing, faxing, and document preparation Maintain confidentiality of sensitive client information and criminal case records at all times Qualifications & Experience Prior office administration, receptionist, legal assistant, or administrative support experience preferred Experience handling client intake, scheduling, and customer service responsibilities preferred Familiarity with legal billing practices and accounting software is strongly preferred Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines Excellent written and verbal communication skills High level of professionalism, attention to detail, and discretion Experience with data entry, records management, and basic bookkeeping Bilingual abilities are highly desirable and encouraged Strong interpersonal skills and professional phone etiquette
