Job Description
Office Manager Position Summary We are seeking a highly organized, proactive, and detail-oriented Office Manager to oversee daily office operations, employee support, facilities coordination, and technology administration. This role is essential to maintaining an efficient, welcoming, and well-supported workplace environment while partnering cross-functionally with Human Resources, IT, Accounting, Operations, and Marketing teams. The ideal candidate thrives in a fast-paced environment, can manage multiple priorities simultaneously, and takes initiative in solving problems and improving processes. Key Responsibilities New Hire Support Prepare workstations, devices, and applications for incoming employees. Assign hardware, complete device setup, and deploy Mobile Device Management (MDM) on all new equipment. Coordinate onboarding logistics to ensure office spaces, supplies, and resources are ready for employee start dates. Partner with Human Resources and IT to support a smooth onboarding experience. Office & Facility Management Maintain and organize common office spaces including conference rooms, wellness areas, mailrooms, kitchens, and supply stations. Oversee office supply purchasing, inventory management, vendor coordination, and general organization. Manage office equipment including leased printers, postage machines, iPads, sound systems, OptiSign digital signage, and RING doorbell cameras. Coordinate with building management to report, monitor, and resolve facility-related issues. Manage office leases and monthly payments in collaboration with the Finance team. Support internal meetings, employee gatherings, and office events. Uniforms & Inventory Management Coordinate the selection, purchasing, distribution, and tracking of company uniforms. Maintain accurate receiving and distribution records within TEAM. Monitor inventory levels and ensure timely replenishment of uniforms and office materials. Preparation of start-up materials (uniforms, posters, binders, cell phones, etc) Technology Oversight Manage company phones and tablets, including procurement through Verizon and T-Mobile, portal administration, and billing audits. Oversee internet service providers such as Verizon and Comcast to ensure reliable office connectivity. Deploy and manage MDM systems across all company mobile devices. Liaison with the company's Managed Service Provider (MSP), R3. Assist with administration of company platforms including Zoom, Dropbox, and Microsoft 365 in partnership with R3. Employee Engagement & Recognition Coordinate employee recognition initiatives, including anniversary gifts and the VIP Pin program in partnership with Human Resources. Ensure timely communication, distribution, and tracking of employee recognition programs. Support initiatives that promote a positive and engaging workplace culture. Marketing & Event Support Support marketing efforts through ordering promotional items, coordinating ticket distribution, and assisting with client-facing events. Assist with planning and execution of office events and company functions as needed. Qualifications 2+ years of experience in office management, operations, administrative support, or a related role. Strong organizational and multitasking abilities with excellent attention to detail. Experience managing vendors, office operations, and technology equipment. Familiarity with Microsoft 365, Zoom, Dropbox, and mobile device management systems preferred. Ability to manage confidential information with professionalism and discretion. Excellent written and verbal communication skills. Strong problem-solving skills and ability to work independently. Experience working with IT vendors or MSPs is a plus. Preferred Skills Experience with inventory management and purchasing processes. Knowledge of mobile device deployment and account management. Event coordination and employee engagement experience. Budget tracking and invoice/payment coordination experience. Work Environment This position is primarily office-based and requires regular interaction with employees, vendors, and building management. Occasional lifting or moving of office equipment and supplies may be required.
Pay:
