Job Description
Position Summary Flanagan Dental is seeking an organized, proactive, and experienced Office Manager to help oversee the daily operations of our dental practice. This person will work closely with practice leadership and play a key role in supervising staff, supporting front desk operations, improving office systems, and helping ensure the practice runs smoothly each day. The Office Manager will be actively involved with the front desk team and will help identify what the practice needs to improve workflow, communication, patient flow, scheduling, insurance readiness, and overall efficiency. This role requires someone who can lead by example, support accountability, and help create a calm, organized, and patient-focused environment. Key ResponsibilitiesStaff Supervision & Front Office Leadership Supervise and support the practice team, with a strong focus on the front desk and administrative staff. Work closely with practice leadership to identify operational needs, workflow issues, and opportunities for improvement. Help train, guide, and support front office team members in daily responsibilities and office procedures. Assist with staff scheduling, attendance tracking, onboarding, training, and performance feedback. Help ensure front desk systems are followed consistently and that team members are held accountable in a professional and supportive way. Lead or participate in daily team huddles to review the schedule, patient needs, and daily priorities. Daily Operations & Practice Support Help oversee the daily administrative operations of the practice. Support smooth communication between the front desk, clinical team, billing team, and practice leadership. Assist with improving systems related to scheduling, patient flow, insurance, billing support, collections, and communication. Monitor daily workflow and help resolve issues that may affect the patient experience or team efficiency. Take on delegated operational and administrative tasks from practice leadership. Schedule Preparation & Patient Readiness Help prepare and review the schedule in advance to ensure the team is ready for upcoming appointments. Oversee pre-visit preparation, including chart review, insurance readiness, missing records, X-rays, balances, and patient communication needs. Coordinate with Patient Care Coordinators to ensure schedule preparation tasks are completed accurately and on time. Delegate appropriate schedule-prep tasks to other coordinators and follow up to confirm completion. Help ensure the clinical and administrative teams have the information they need before patients arrive. Patient Experience & Communication Support a professional, welcoming, and organized patient experience. Help oversee patient communication through phone calls, voicemail, text messages, email, faxes, and online registrations. Assist with scheduling, recall, missed appointments, incomplete treatment, and hygiene schedule management. Help keep patient communication timely, accurate, and properly documented. Insurance, Billing & Financial Coordination Support insurance verification, eligibility checks, pre-authorizations, and pre-treatment estimate workflows. Help ensure patient information, insurance details, X-rays, and required documentation are complete for claim readiness. Assist with patient balances, co-pay collection, account follow-up, and collection procedures. Communicate with insurance companies, patients, and billing partners as needed. Help support accurate lab tracking, lab slips, and related documentation. Qualifications Dental office experience required. Prior office management, front desk leadership, or team supervisory experience preferred. Strong understanding of dental front office systems, scheduling, insurance, billing workflows, and patient communication. Experience with Denticon, Weave, or similar dental software preferred. Strong communication, organization, leadership, and problem-solving skills. Ability to supervise staff while remaining approachable, professional, and supportive. Strong attention to detail and ability to follow through on tasks. Comfortable working in a fast-paced, patient-focused environment. Ability to handle confidential patient, employee, and practice information appropriately. Ideal Candidate The ideal candidate is a strong leader who enjoys creating order, improving systems, and helping a team work more efficiently. This person should be comfortable working closely with practice leadership while also being hands-on with the front desk team. They should be able to notice what is not working, communicate clearly, delegate appropriately, and help implement solutions that improve the day-to-day flow of the practice.
