Part-Time Position Summary The Office Administrator serves as the primary administrative support person for the parish and helps ensure the smooth operation of the church office. This position supports the clergy, staff, ministry leaders, parishioners, and visitors by managing office functions, communications, records, scheduling, and administrative processes in a welcoming and professional manner. The Office Administrator contributes to the church's mission by fostering effective communication, organization, and hospitality. Essential ResponsibilitiesAdministrative Operations Manage daily church office operations and maintain regular office hours. Serve as the first point of contact for phone calls, emails, visitors, and inquiries. Maintain office supplies, equipment, and vendor relationships. Coordinate mail distribution and correspondence. Maintain office filing systems, both electronic and physical. Communications Prepare and distribute weekly bulletins, newsletters, announcements, and other parish communications. Maintain the church website and social media platforms as assigned. Manage parish email communications and mailing lists. Assist clergy and ministry leaders with communication materials and event promotion. Records Management Maintain accurate parish records, including membership, attendance, baptisms, confirmations, marriages, funerals, and other sacramental records. Ensure confidentiality and security of church records and sensitive information. Prepare reports and statistical information as requested. Scheduling and Event Support Manage church calendars, facility use schedules, and room reservations. Coordinate logistics for parish meetings, events, and special services. Assist with preparation of materials for vestry meetings and other church committees. Support clergy with scheduling appointments and parish activities. Financial and Administrative Support Process invoices, reimbursement requests, and financial documentation as assigned. Support annual stewardship campaigns and parish mailings. Work collaboratively with the Treasurer, bookkeeper, and other financial volunteers or staff. Hospitality and Parish Support Welcome parishioners, visitors, and community members to the office in a friendly and professional manner. Respond to requests for information and direct inquiries appropriately. Support volunteers and ministry leaders with administrative needs. Help foster a positive, organized, and hospitable church environment. QualificationsRequired High school diploma or equivalent. Two or more years of administrative, office management, or related experience. Proficiency with Microsoft Office, Google Workspace, email systems, and office technology. Website, social media or graphic design experience. Strong organizational, communication, language and interpersonal skills. Ability to manage multiple priorities and work independently. Commitment to maintaining confidentiality and professionalism. Preferred Experience working in a church, nonprofit, or faith-based organization. Familiarity with Episcopal Church practices and terminology. Experience with church management software and database systems. Physical Requirements Ability to sit, stand, walk, and use office equipment for extended periods. Ability to lift and carry materials weighing up to 25 pounds. Ability to attend occasional evening or weekend parish events as needed. Work Environment The Office Administrator works in a church office setting and regularly interacts with clergy, staff, volunteers, parishioners, and members of the community. The position requires discretion, professionalism, and a welcoming presence. Pay:
$23.00 - $25.00 per hour
