This individual will oversee financial administration, vendor and property management, personal and business operations, and strategic coordination for a high-net-worth family and related entities. The ideal candidate is highly organized, discreet, proactive, and capable of managing multiple priorities across personal, financial, and operational matters with professionalism and confidentiality. Key Responsibilities Family Office & Financial Administration Coordinate and oversee daily operations of the family office. Manage budgeting, cash flow tracking, bill pay, and expense reporting. Liaise with accountants, attorneys, wealth advisors, insurance brokers, and tax professionals. Assist with financial reporting, document organization, and preparation for tax filings. Monitor bank accounts, credit facilities, and investment-related administrative activities. Review contracts, invoices, and vendor agreements for accuracy and approval. Business & Operational Management Manage administrative operations for family-owned businesses and entities. Coordinate special projects, business initiatives, and operational improvements. Oversee office systems, recordkeeping, compliance files, and workflow processes. Assist with HR-related coordination, including onboarding service providers and household staff. Maintain strict confidentiality regarding all family and business matters. Property & Vendor Management Coordinate maintenance and operations for multiple residences and properties. Manage relationships with contractors, property managers, household staff, and service providers. Oversee scheduling of repairs, renovations, and preventative maintenance. Negotiate vendor contracts and ensure quality and cost control. Personal & Executive Support Coordinate travel arrangements, itineraries, and logistics. Manage calendars, appointments, and family scheduling needs. Support event planning, philanthropic activities, and personal projects. Handle sensitive requests and rapidly changing priorities with professionalism. Qualifications Bachelor's degree in Business Administration, Finance, Accounting, or related field preferred. 5+ years of experience in a family office, private office, executive management, or business management role. Experience supporting high-net-worth individuals or family-owned businesses strongly preferred. Strong financial acumen and understanding of budgeting, reporting, and vendor management. Exceptional organizational and project management skills. High level of discretion, judgment, and confidentiality. Proficiency in Microsoft Office Suite, QuickBooks, and financial management systems. Excellent written and verbal communication skills. Preferred Experience Multi-entity accounting or family office structure management. Real estate and property oversight. Exposure to trusts, estate planning coordination, and investment administration. Experience managing household staff and private service providers.
