Job Description

Position Summary The Office Administrator supports day-to-day operations of a fast-paced construction company. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities across administrative, financial, and project support functions. Key ResponsibilitiesAdministrative Operations Manage incoming calls, emails, and general office correspondence Maintain organized filing systems (digital and physical) for contracts, permits, and project documents Coordinate office supplies, equipment, and vendor relationships Schedule meetings, appointments, and team calendars Project Support Assist project managers with documentation, submittals, and tracking project progress Maintain and update job files, including contracts, change orders, and compliance documents Coordinate with field teams to collect reports, timesheets, and project updates Support permit applications and inspection scheduling Accounting & Financial Support Process invoices, purchase orders, and expense reports Track accounts payable/receivable and assist with collections Support payroll processing, including timesheet verification Work with accounting team/bookkeeper on job cost tracking and reporting Vendor & Client Coordination Communicate with subcontractors, suppliers, and clients as needed Track insurance certificates, W-9s, and compliance documentation Assist with bid preparation and proposal formatting Qualifications Required 2-5 years of administrative experience (construction industry preferred) Strong proficiency in Microsoft Office (Excel, Word, Outlook) Experience with accounting or project management software (e.g., QuickBooks, Procore, Buildertrend) Excellent organizational and multitasking skills Preferred Experience supporting construction project teams Basic understanding of construction terminology, contracts, and workflows Familiarity with job costing and procurement processes
